We are seeking an enthusiastic and motivated individual who is looking to begin a career in healthcare administration through a Business Administration Apprenticeship.
This is an excellent opportunity to gain practical experience within a busy and progressive GP practice while completing a Level 3 Business Administration Apprenticeship. Apprenticeship Recruitment Process
This vacancy is offered by University Medical Centre, with the training being provided by Ginger Nut Training.
University Medical Centre will be the employing organisation and will manage the recruitment and selection process for the role.
Ginger Nut Training is the approved apprenticeship training provider and will undertake eligibility checks for the apprenticeship programme in accordance with apprenticeship funding rules. Any offer of employment will therefore be subject to the successful candidate meeting both the practice's recruitment requirements and the apprenticeship eligibility criteria.
Throughout the apprenticeship, you will receive structured training and support to develop the knowledge, skills and behaviours required to achieve your qualification and build a successful career in healthcare administration.
Main duties of the job
Working as part of our administrative team, you will gain experience across a wide range of practice functions, developing valuable skills in communication, customer service, organisation, IT systems, and NHS administration.

As a Practice Administrative Apprentice, you will -
Communicate with patients, staff and external organisations by telephone, email and face-to-face.
Support appointment booking and day-to-day reception services.
Learn to use clinical and administrative systems including EMIS, Docman and iPlato.
Maintain accurate records and update patient information.
Process and scan documentation onto patient records.
Assist with meeting administration, including agenda preparation and minute taking.
Support stock management and general office administration.
Work alongside clinical and non-clinical staff to support the smooth running of the practice.
Develop an understanding of confidentiality, data protection, safeguarding and NHS policies.

Job summary
As a Practice Administrative Apprentice, you will gain hands on experience in a busy GP Practice while developing your skills through on the job training and completing an NVQ Level 3 in Business Administration. Your role will involve providing administrative support to the practice, including booking appointments, maintaining accurate medical records, and communicating effectively with patients, colleagues, and external partners via telephone, email, and face-to-face interactions. You will also assist with a range of general administrative tasks to help the practice run smoothly.
This role is ideal for a motivated and enthusiastic individual who is keen to learn, develop their organisational skills, and deliver excellent customer service. It offers a fantastic opportunity to build a career in NHS healthcare administration while achieving recognised qualifications.
Duties and responsibilities
The duties and responsibilities of the Practice Administrative Apprentice may include any or all of the items in the list below. Duties may be varied from time to time under the direction of the Clinical Services Team Lead or Practice Manager, depending on practice workload and staffing requirements.
Communicate effectively with patients, staff, and external contacts using various methods eg phone, email and in-person.
Develop IT skills, including using patient management systems such as EMIS, Docman, and iPlato.
Provide general administrative support across the practice, including reception duties as required.
Assist with maintaining accurate records and updating information in line with organisational standards.
Support appointment management, correspondence, and other day-to-day administrative processes.
Take and circulate minutes, prepare agendas, and assist with meeting-related tasks.
Assist with stock management, office organisation, and other general support tasks.
Support clinical and administrative staff with ad hoc tasks as required.
Help with basic premises or facilities-related tasks, such as reporting issues or arranging contractor visits.
Scan patient-related documentation and attach scanned documents to healthcare records accurately.
Ensure all policies and procedures within areas of responsibility are kept up to date and implemented as required.
Demonstrate professional and respectful behaviour at all times, reflecting the values, standards, and reputation of the organisation.
CQC (Care Quality Commission)
Under supervision of the Clinical Services Team Lead / Practice Manager to assist staff and clinicians to ensure that the practice fully complies with the CQC regulations To ensure that all policies and procedures within areas of responsibilities are up to date and are amended as and when required
