We are looking for an experienced Travel Operations Specialist with a strong background in travel operations, hospitality reservations, or luxury travel bookings. Key Responsibilities:
Travel Operations
Book and manage air travel through GDS platforms such as Amadeus, Galileo, or SabreHandle fare rules, ticket exchanges, reissues, cancellations, and itinerary changesCoordinate hotel, villa, transportation, dining, and experience reservationsResearch and compare supplier availability, rates, and travel optionsMonitor upcoming departures and proactively identify operational issues before they impact clientsClient & Trip Support
Prepare and distribute travel documents, confirmations, vouchers, and itinerary packagesCommunicate with clients as needed regarding confirmations, travel documentation, and trip logisticsSupport active travelers during schedule changes, disruptions, and other operational mattersAssist with travel documentation and visa-related researchAdministrative & Financial Support
Generate and track client invoicesReconcile supplier payments and commission recordsMaintain accurate booking records and documentation within CRM systemsSupport reimbursement processing and travel-related accounting tasksEnsure all records are accurate, organized, and up to dateSupplier Coordination
Build and maintain strong relationships with travel suppliers and service partnersCoordinate confirmations, payments, special requests, and operational follow-upsMaintain supplier databases and booking records with a high level of accuracyRequirements
Minimum 2 years of experience in travel agency operations, hospitality reservations, travel coordination, or a similar operational roleStrong organizational skills and exceptional attention to detailAbility to manage multiple bookings and deadlines simultaneouslyExcellent written and verbal English communication skillsExperience with invoicing, payment tracking, and administrative processesProficiency in Microsoft Office, particularly Outlook, Excel, and WordExperience using CRM systemsAbility to work during US Eastern Time business hoursPreferred
