Were on the hunt for a highperforming Practice Manager to drive operational excellence and support our strategic growth. This is a fantastic opportunity for someone who loves optimising systems, leading teams, and delivering measurable results.

Reepham and Aylsham Medical Practice has two sites, one in the picturesque village of Reepham and one in the historic town of Aylsham. Currently we have a list size of approximately 9,000 patients. There will be a requirement to work between both sites.

In This Role, You Will:

Lead operational improvements across the practice

Manage performance, recruitment, and staff development

Oversee financial planning and reporting

Implement new processes and digital solutions

Ensure compliance and uphold quality standards

Main duties of the job

Business planning Setting longterm strategies, planning services, and adapting to changing NHS requirements.

Financial management Handling budgets, payroll, billing, insurer liaison, and costcontrol. Ensures the practice stays financially viable.

Staff management Recruiting, training, supervising nonclinical staff, conducting performance reviews, and maintaining morale.

Appointment systems Designing and overseeing appointment workflows that work for both clinicians and patients.

Regulatory compliance Ensuring adherence to CQC standards, data protection laws, NHS policies, and clinical governance.

Information governance Maintaining accurate records, safeguarding patient confidentiality, and managing data systems.

IT and digital systems Overseeing clinical systems, security, digital transformation, and troubleshooting technology.

Liaison and communication Working with Integrated Care Boards (ICBs), Primary Care Networks (PCNs), suppliers, and community partners.

Quality assurance Implementing protocols for patient safety, service quality, and continuous improvement.

Premises and facilities Managing buildings, equipment, health & safety, and risk management.

Strategic leadership Supporting GP partners, shaping longterm direction, and adapting to workforce and policy changes.

About us

As a GP Surgery we treat all minor illness and medical conditions and refer patients to hospitals and other medical services for urgent and specialist treatment. We focus on the health of the whole person combining physical, psychological and social aspects of care and have a large clinical and administrative team who support patients and staff to enable us to provide this care. It is important that anybody that joins the team can work at pace and understand priorities and need to provide excellent care with a friendly, caring attitude.

We strive for professionalism at all times and feel it is important that patients feel listened to and supported. Preventative care is as important as curative and we work with Research to promote learning and development.

We also understand that it can be challenging working in primary care. As a rural Practice we believe that working together and with one another to support our own health and wellbeing is equally important. Staff training is carried out monthly so we can get together to discuss things that can improve work and wellbeing.

Job Summary

The Practice Manager is responsible for the effective day-to-day management of the GP practice, ensuring high-quality patient services, operational efficiency, and compliance with NHS and regulatory requirements. The role includes leadership of staff, financial oversight, and supporting strategic development in collaboration with GP partners and the Primary Care Network (PCN).

Key Responsibilities:Operational Management

Oversee the smooth running of all practice operations

Support appointment systems, workflows, and administrative processes

Ensure the practice environment is safe, compliant, and fit for purpose

Staff Management & Leadership

Lead, motivate, and manage clinical and administrative teams

Oversee recruitment, induction, appraisals, and training

Manage HR processes including absence, performance, and employee relations

Financial Management

Develop and monitor practice budgets

Oversee income streams (GMS contracts, QOF, enhanced services)

Ensure effective financial controls, payroll, and reporting

Governance & Compliance

Ensure compliance with CQC standards and NHS regulations

Maintain policies, risk assessments, and business continuity plans

Manage complaints, incidents, and patient feedback

Patient Services

Ensure a high standard of patient care and experience

Improve access to services and patient satisfaction

Support Patient Participation Group (PPG) engagement

IT & Digital Oversight

Oversee practice IT systems (e.g., SystmOne) supported by IT Lead

Ensure data protection compliance (GDPR, DSPT) Support digital transformation and new technology adoption

Strategic Development

Support GP partners and Business Manager with business planning and service development

Work collaboratively with PCN and external stakeholders

Lead service improvement and change initiatives

Person Specification

Qualifications Essential

Qualifications Degree or equivalent management experience Leadership/management qualification (e.g., ILM/CMI) desirable

Experience Essential

Strong leadership and organisational skills, Experience in management, ideally within healthcare, Financial and budget management experience, Knowledge of NHS primary care systems and regulations, Excellent communication and problem-solving abilities

Desirable

Experience in GP practice management, Knowledge of CQC inspections and PCN working, Project management or service improvement experience, Reporting Line - Key Outcomes Efficient and compliant practice operations, Financial sustainability, High-quality patient care and experience, Strong staff performance and engagement, Reports to GP Partners and Business Manager
