About this role

Job summary

The Senior Healthcare Coordinator will provide the administrative function within the Special Allocation Scheme (SAS), ensuring the efficient and effective management of patient pathways and service operations.

Main duties of the job

The post holder will oversee the day-to-day administration of the service, providing support to clinical colleagues whilst ensuring high standards of customer service for patients, healthcare professionals and partner agencies.

The role will support the SAS clinical team and wider management team in delivering a responsive, patient-centred service that promotes equality, diversity and inclusion, continuous improvement, and high-quality care.

The post holder will act as a key point of contact for patients, healthcare professionals and external agencies, ensuring effective communication and coordination across the service.

Job description Job responsibilities

Service Coordination

Oversee administrative processes to ensure the smooth running of the SAS service.Coordinate clinical and administrative rotas, ensuring appropriate service cover is maintained.Arrange temporary staffing cover where required to support service delivery.Monitor service activity and support performance reporting requirements.

Patient and Stakeholder Communication

Provide an effective reception and patient access service via telephone, email and digital systems.Ensure all patient enquiries are managed professionally, sensitively and efficiently.Provide initial guidance and support to patients wishing to raise concerns or complaints.Work effectively with interpreters.Act as a key contact for external organisations including:

Police

Solicitors

DVLA

NHS services

Other statutory and voluntary agencies

Clinical and Operational Support

Support the SAS clinical and management teams with operational and administrative requirements.Coordinate meetings, prepare agendas and take accurate minutes.Support service audits, KPI achievement and quality improvement initiatives.Promote and support patient feedback mechanisms, including the NHS Friends and Family Test.Provide chaperone support for face-to-face SAS clinics in accordance with organisational policies and training.Support the coordination of patient appointments and clinic activity (including the delivery of an on-site reception) across Bradford, Wakefield District, Leeds, Calderdale and Kirklees.

Management

Contribute to service development, audit and quality improvement activity within SAS.Act as a role model to other colleagues, providing strong mental health leadership.Investigate and facilitate change in practice designed to improve clinical outcomes and meet the needs of patients and care givers that are consistent with local/national standards and current evidence.Act as a mentor for learners.Act with honesty and integrity at all times and acts as a positive ambassador for Bevan. Understands the social enterprise model and ethos.

Use of Data and Information

Continually improve the quality of data entered for audit purposes.Use electronic patient record systems and associated software effectively.Maintain accurate patient records and data quality standards.

Qualifications Essential

A good standard of education, with GCSEs or in English and Maths at grade 4 or C or above or equivalent. Willingness to undertake further training and development as required.

Desirable

Practice receptionist e.g.PRP, NCFE or Customer Care e.g.NVQ qualification. Digital or IT qualification.

Knowledge & Skills Essential

Able to maintain strict confidentiality in all aspects of work Excellent communication and interpersonal skills, both over the phone and in person Capable of adapting communication to suit a range of individuals and their specific needs Strong keyboard skills and proficient in Microsoft Office programmes Good organisational and time management abilities Able to remain calm under pressure Tactful, diplomatic, and empathetic in all interactions

Other Essential

Flexible and adaptable, with willingness to travel across West Yorkshire

Experience Essential

Previous experience in a customer-focused role. Experience working with individuals from diverse backgrounds and cultures.

Desirable

Experience in primary care, community mental health, inclusion health, homeless health, prison health or similar settings. Previous experience as a team lead or supervisor. Previous experience of training others. Familiar with SystmOne.
