The EPMA Lead Nurse is an influential role at the forefront of digital transformation, providing expert clinical leadership to shape how medicines are prescribed and administered across community and mental health services using SystmOne as the EPMA platform. As a trusted subject matter expert, you will ensure that nursing practice, patient safety and real world clinical workflows are embedded into the design, implementation and continuous improvement of SystmOne in a way that reflects the unique needs of the organisation and the populations it serves. Working with autonomy and authority, you will drive excellence in medicines management, lead engaging training and competency development, and play a key role in strengthening digital medicines governance alongside multidisciplinary colleagues.

Main duties of the job

You will provide expert clinical leadership to support staff in the safe and effective use of electronic prescribing systems, with a particular focus on SystmOne. The role leads the design and delivery of training and competency programmes, develops superusers and offers clear guidance on complex clinical and digital processes, acting as a key point of contact for EPMA queries across community and mental health services. Working collaboratively with multidisciplinary teams, the post holder influences change, supports staff development and promotes a culture of safe, high quality, person centred care.

The role contributes to strong governance through involvement in medicines safety processes, audit, risk management and incident review, ensuring learning is embedded and that EPMA and SystmOne use aligns with national standards and organisational policy. They support efficient use of resources, contribute to financial awareness and assist with service planning and business cases.

A key focus is service improvement, providing clinical input into system design, configuration, testing and rollout within SystmOne, while supporting optimisation and business continuity. The EPMA Lead Nurse analyses data, produces reports and supports policy development, maintaining a strong focus on patient safety and care quality while working autonomously to deliver our digital and clinical objectives.

All staff are expected to be able and willing to work across a 7 day service.

MAIN DUTIES/RESPONSIBILITIES

Responsibility for People Management

Provides expert support and guidance

Designs, organises and delivers any training needed for staff in relation to the project including induction for new staff.

Provide specialist clinical leadership to nursing and MDT staff in the use of EPMA systems

Design, deliver and evaluate structured training programmes and competency frameworks for EPMA users

Communicate complex clinical and digital information clearly to a range of staff groups

Work collaboratively across professional and organisational boundaries

Act as a key point of contact for EPMA-related clinical queries

Use negotiation and influencing skills to support engagement and change

Provides support and learning opportunities to others to improve their knowledge, especially in relation to the specific project and designs teaching material regarding the new project. Delivers this in appropriate format i.e. on-ward or in classroom settings.

Develop a superuser programme, recruiting and coaching EPMA superuser members.

Provide support for the induction of new starters to the team.

Support a culture within the team that ensures that all technical and operational employees comply with organisation policies and guidelines.

Work collaboratively with colleagues to ensure that effective governance arrangements and performance management systems are in place for EPMA and non-medical prescribers within electronic prescribing systems.

Work collaboratively with colleagues to address complaints and incidents appropriately lead on the learning from such events to ensure that learning is achieved across the team.

Responsibility for financial and/or physical resources

Correctly record and update asset information.

Take responsibility for the security of resources held by the role.

Promote the best use and care of resources throughout the organisation, ensuring that the project operates in a cost-efficient manner.

Work with operational managers to understand team finances.

Ensure that budgets are managed in accordance with the organisations Standing Financial Instructions, working collaboratively with the EPMA Systems Team and Finance lead, taking the necessary actions to prevent or address variance in performance, and to incorporate recommendations of internal and external audit.

Contribute to medicines safety and digital governance processes, identifying risks associated with EPMA use

Support investigation of incidents, complaints and safety events, ensuring learning is embedded into practice

Contribute to audit programmes and the monitoring of EPMA-related performance and safety indicators

Ensure practice is aligned with national standards, professional guidance and organisational policy

Ensure that unplanned variation in service delivery (activity, income, expenditure, capacity, performance) is identified and appropriate, timely action taken.

Support the development of capital and/or revenue business cases for submission to the relevant committees.

Responsibility for administration

Work collaboratively with colleagues to ensure that all risks are identified and included as appropriate on the organisational risk register and are progressed appropriately to reduce the risk profile.

Share and communicate performance indicators and level of performance throughout the department, taking action where required to address variance from the standards or milestones.

Support the development, implementation and review of EPMA policies and procedures.

Produce reports of agreed content for governance meetings.

Utilise relevant electronic systems to record information e.g. Excel, EPR

The engagement with patient / client groups where required.

Maintain a comprehensive understanding of the treatment and care delivered to patients / clients and ensure that the EPMA system meets these needs.

Be available to work at weekends and on-call on occasion during roll-out to support in-patient areas in EPMA use out of hours.

Responsibility for implementation of policy and/or service developments

Provide visible operational leadership and promote continual improvement in quality, performance and delivery of organisational objectives.

Interpret national guidelines for digital and clinical colleagues in relation to electronic prescribing.

Develop processes in collaboration with the EPMA System Team to jointly manage the business, delivery and development of services.

In collaboration with the EPMA project team and colleagues, contribute to the development of business continuity plans.

Contribute to the development and optimisation of EPMA systems and workflows

Support implementation of service improvements aligned with patient safety and quality priorities

Participate in change management processes, supporting staff engagement and adoption

To work autonomously in delivering the EPMA implementation and optimisation activities within agreed project plans

Provide clinical input into system configuration and testing

Support rollout activity including ward-based support and troubleshooting

Analyse and interpret data to support local service improvement and reporting

Maintain up-to-date knowledge with regards to Data Protection, Patient Confidentiality, Information Sharing Protocols and relevant organisation policies relating to these.

Use specialist knowledge and experience to ensure that decisions taken are in the organisations best interests.

Hold a corporate leadership role for delivery of cross cutting agendas that defines ways of working between directorates and shapes individual and joint roles across the organisation.

Work in partnership with colleagues across the organisation to drive the achievement of the organisations corporate goals and business plan, including the achievement of all the relevant performance standards incorporating quality, safety, contractual, financial and people.

Collaborate with senior nurses and multi-disciplinary staff, stakeholders, external agencies, service users in developing and delivering plans for the relevant project.

Develop and undertakes audits and formal reviews of the project.

Contribute to service reviews ensuring that any changes that have been implemented are in line with national guidelines, organisational strategy and best practice.

Other Responsibilities

Develop the business and planning processes throughout department to deliver services to required standards and within the available resource base.

Work alongside the EPMA Systems Team to schedule resources within the team in order to meet the operational or project priorities.

The post holder will also be able to work on their own initiative, prioritising their workload and working within timescales to deliver project requirements.

Responsible for managing aspects of service delivery within the EPMA team to agreed quality standards and within the resource or income base available.

Lead on the development, implementation, establishment and review of performance management systems within the EPMA Team, it is critical that this is done collaboratively with other leads across digital and pharmacy.

Develop escalation plans and business as usual plans so that environments of care know what to do when systems malfunction.

Identify, report and update risks as part of a formal risk register.

Regularly monitor and review plans, adjusting for change considering local need and response to changes in national policy, legislation or organisational strategy.

Seek the opinions of other healthcare organisations and national bodies where standards, policies and procedures are unclear.

Responsible for the successful implementation into live environments of new developments as part of project or service objectives.

Produce and present reports on the project to relevant groups and committees.

Maintain a working knowledge of systems in use within the Trust, providing guidance to staff as required and lead in the resolution of complex issues.

Lead tasks and activities which may require adjustments to priorities to satisfy business needs.

Support all organisation in-patient sites to resolve EPMA system issues across multiple platforms.

Ensure compliance with policies and procedures and support development of appropriate systems and processes.

Analyse and interpret data to develop project plans and create reports of project activity.

To participate in the organisation-wide Medicines Audit programme relating to the medicines management system. This includes assisting with identification of audit topics, supporting collection of data and analysis of data.

COMMUNICATIONS AND RELATIONSHIPS

Work closely with organisation wide nurse groups and pharmacists and act as a liaison between the organisations nurses and the EPMA team.

Attend a variety of meetings and act as a point of contact for EPMA queries and concerns.

Work as a nursing expert within the EPMA team, encouraging knowledge sharing across that team.

Lead, mentor and motivate nursing staff in relation to EPMA delivery.

Develop and maintain good relationships with members of both clinical and non- clinical staff internally and externally to the organisation.

Deliver complex information, sometimes of a contentious and sensitive nature, relating to specific service changes. This would need highly developed communications skills in order to persuade and negotiate change.

Design and demonstrate digital clinical systems and project related business plans to user groups and senior staff.

Negotiate with a wide range of stakeholders, in a financially constrained health economy, regarding delivery of projects and impacts on quality and quantity of services, challenging practice and established management processes where required.

Persuade and influence project teams and stakeholders regarding project aims and timely completion.

Experience Essential
