Job summary
We're looking for an enthusiastic and highly organised Organisational Development Coordinator to join our Workforce & Organisational Development team at Aneurin Bevan University Health Board on a 12-month maternity cover basis.
This is a pivotal role at the heart of our Organisational Development function, supporting learning and development activity that reaches over 16,000 staff across the University Health Board. The postholder will play a key role in ensuring our learning system runs smoothly, acting as the team's expert administrator for the Electronic Staff Record (ESR) and Oracle Learning Management (OLM) and supporting colleagues across the organisation to access and manage learning effectively.
Alongside managing ESR and OLM, you'll provide high-quality coordination and administrative support to a range of exciting OD programmes and projects that help individuals and teams thrive at work. From producing engaging learning communications to analysing data that informs improvement, you'll see first-hand how your work contributes to improving the experience of staff and ultimately the services we provide to the people of Gwent.

Main duties of the job
The post of Organisational Development Coordinator is at the heart of the Aneurin Bevan University Health Board's Organisational Development team.
The Organisational Development Team form part of the wider Workforce & OD function, and provide a wide range of services/projects which support individuals and teams from all areas of ABUHB to thrive in the workplace and achieve their potential.
This role is:
Required to provide a comprehensive administration and coordination service which enables the OD function to run smoothly and efficiently. This requires proactive planning and organisation, close liaison with team members and other stakeholders, and regular reprioritising of workload in order to meet both planned and emerging demands.
Responsible for the use of the Electronic Staff Record (ESR) Oracle Learning Management (OLM) module and acts as the Organisational Development Team's expert in any issues.
Required to create visually engaging learning and advertising materials which help to enhance the professional reputation of the Organisational Development function.
Expected to generate and analyse data relating to the activities of the Organisational Development team.
Encouraged to proactively identify ways of improving the efficiency or effectiveness of the Organisational Development services we provide, and take action in implementing improvements.

Job description Job responsibilities
Coordinate the activities of the ABUHB Organisational Development team.
Plan and arrange team meetings, development days and other workshops.
Book suitable venues for Organisational Development activities and coordinate availability and of any technical equipment or learning materials required to create an effective learning environment.
Provide a comprehensive learning administration service, including proactive creation, preparation and issue of learning materials for training events.
Take responsibility for preparing learning venues (room layout, refreshments etc), welcoming learners and speakers and opening/closing training sessions when required.
Act as the team expert in administration, problem-solving and reporting from ESRs OLM module, to include:
o creating courses, offerings and classes
o establishing and recording learning pathways
o recording learner attendance/non-attendance
o creation, application and reporting of competencies
o NHS Wales eLearning
To offer advice/training and support to users of the systems as required.
Provide reports and performance information using the ESR Business Intelligence reporting tool.
Act as the team expert in problem-solving user issues with Personal Appraisal & Development Review (PADR) recording in ESR.
Lead on the maintenance of existing and creation of new OD team Intranet pages using the Cascade content management system.
Lead or support development and design of visually engaging written or electronic advertising/marketing materials to promote the ABUHB Organisation Development activities.
Create and maintain a system for efficiently capturing, monitoring, reporting and acting upon learner evaluation of OD activities.
Use Oracle to raise orders and process invoices for the Senior OD Team as needed.
Recognise and deal with sensitive comments, complaints or untoward incidents; taking appropriate remedial action and providing first level support Ensure that confidential and sensitive information is communicated in accordance with Information Governance protocols and Data Protection legislation.
Work autonomously under own initiative and unsupervised when necessary.
Demonstrate excellent time management and organisational skills to accommodate own workload whilst meeting service requirements.
Deal with interruptions professionally whilst maintaining concentration and attention to detail.

CQFW Level 4 or possess an equivalent level of demonstrable knowledge and experience
