About this role

Job summary

The post holder will be part of the Radiation Protection and Imaging Physics (RPIP) Service and the Medical Engineering and Physics (MEP) Care Group. RPIP performs a range of radiation protection and scientific activities, for KCH and external organisation, which are provided by scientific and technical staff. We are seeking to recruit an enthusiastic person to join our team. You'll be joining a friendly, close-knit team where collaboration and innovation is central to how we work. There will be opportunities for growth where potential is identified.

The post holder will be expected to act independently ensuring that daily tasks and ongoing workloads are prioritised and completed in agreed timeframes. Within the scope of the grade of the post holder will have sole responsibility for some areas of the job and as directed be expected to represent the Care Group in certain meetings. The post holder would be responsible for the provision of an effective administrative service to the team and also assist with technical services.

Main duties of the job

Administer the personal dosimetry service and assist with environmental monitoring services. This includes processing requests for the issue of dosimeters and amendment to existing records, receiving dosimeters, accurate completion of associated records.

To assist the team on ad-hoc projects.

Provide cover for the main Faraday Reception desk.

To maintain liaison with clinical and other staff within the area and externally as required with respect to the consultative and other specialist services provided by the team.

Job description Job responsibilities

Co-ordinate papers and agendas highlighting areas for action in preparation for all internal and external meetings.

Responsible for taking, transcribing and circulating minutes of formal meetings as directed and within agreed timeframes.

Responsible for anticipating and supporting Service secretarial needs and those of the team. This will include managing diaries, organising meetings, using own judgement to re-schedule appointments when conflicting priorities arise, organising conferences, travel arrangements.

Assisting with auditing and updating of policies and procedures for the Department and to proactively participate in the development and implementation of procedures to ensure a high quality administrative services.

To be responsible for the staff recruitment process where needed: sending application packs to applicants, requesting references, organising interview dates, skills tests and panels and liaising with HR for successful candidates.

To be the first point of contact for the Department, dealing with verbal enquiries and correspondence in an effective, courteous and timely manner. This will include personal enquiries from patients, relatives, staff and the post holder will demonstrate understanding of the sensitive nature of such calls.

Organise and assist with the routine maintenance and care of the RPIP car.

Person Specification

Education and Qualifications Essential

GCSE English or equivalent grade C/4 or above

Desirable

GCSE Maths and or Scientist or equivalent grade C/4 or above A level (or equivalent) maths or physics NVQ3, RSAIII, Diploma in secretarial practice from recognised body or equivalent professional practice

Knowledge and Experience Essential

Previous experience in administrative and secretarial practice

Desirable

Awareness of health safety legislation Previous experience of HR procedures

Skills and Competencies Essential

Ability to work under pressure within a cooperative multi-disciplinary team based environment Excellent problem solving skills Effective in managing own time Ability to plan and organise ongoing activities and programmes Ability to demonstrate flexible and highly organise approach with an eye for details Ability to demonstrate a proactive approach to programmes to improve work procedures and own personal development Neat, tidy and able to portray a professional image Proficiency with MS Package (Excel, Word, Teams, Forms etc.) , emails and databases
