About this role

Job summary

We are seeking an experienced Senior Clinical Coding & Data Quality Administratorto join our busy Administration Team at Tottenham Health Centre. The role will focus on clinical coding, EMIS and Ardens reporting, QOF target management, and supporting the Long-Term Conditions Locally Commissioned Service process within the practice.

The successful candidate will have strong experience working in a GP surgery and must be confident using the EMIS clinical system. They will be required to run and manage EMIS and Ardens searches and reports, coordinate with the clinical team to support achievement of QOF targets, provide quarterly updates, and assist with the effective management of LTC LCS processes.

The role will also involve supporting 2-week wait referrals and e-RS management, alongside accurate processing and coding of clinical information to ensure patient records are maintained to a high standard.

This is a busy and varied role requiring excellent attention to detail, strong organisational skills, the ability to multitask, and confidence working under pressure in a fast-paced healthcare environment.

Main duties of the job

The main duties of the role include accurately coding and summarising clinical information into EMIS, running EMIS and Ardens searches and reports, and supporting QOF target achievement through monitoring, reporting, and coordination with the clinical team. The role also involves supporting the LTC LCS process, managing 2-week wait and e-RS referral administration, maintaining accurate patient records, identifying gaps in coding or reporting, and providing wider administrative support within a busy GP practice environment.

About us

Tottenham Health Centre is a GP practice based in East Haringey, providing general medical services to around 5,500 patients under a PMS contract with NCL ICB. The practice serves a diverse local population, with patients from a wide range of cultural backgrounds.

The practice is currently based in a converted building, with approved plans for a new purpose-built Health Centre as part of the Tottenham High Road regeneration programme.

Job description Job responsibilities

Manage the clinical coding of electronic and hard-copy documentation relating to registered patients. Accurately code and record clinical information within the EMIS clinical system. Review patient correspondence, identify relevant clinical information, apply appropriate codes, and complete any necessary follow-up actions. Process and action incoming correspondence, emails, hospital letters, and post promptly in line with practice policies and procedures. Scan, upload, and file patient documentation accurately into electronic healthcare records. Maintain accurate and up-to-date patient records by ensuring all information is entered correctly and in a timely manner. Run EMIS and Ardens searches and reports to support practice performance, data quality, recalls, audits, and clinical reporting requirements. Support the management and monitoring of QOF targets, working with the clinical team to identify outstanding work and ensure appropriate action is taken. Provide regular updates on QOF performance, clinical coding progress, and reporting areas as required. Support the administration and management of the Long-Term Conditions Locally Commissioned Service process, including searches, recalls, reporting, and coordination with clinicians. Input and extract patient data to support practice reporting, audits, QOF, LTC LCS, and other contractual requirements. Support the management of 2-week wait referrals, ensuring referrals are processed accurately and within required timescales. Assist with e-Referral Service administration, including referral processing, tracking, and follow-up where required. Work closely with GPs, nurses, pharmacists, care coordinators, and administrative colleagues to support safe and effective patient care. Ensure all coding, workflow, and patient record processes are completed in accordance with NHS guidance, practice protocols, policies, and confidentiality requirements. Identify and escalate any coding, reporting, referral, or workflow issues to the appropriate manager or clinician. Support continuous improvement of administrative processes and contribute ideas to improve efficiency and patient care. Provide general administrative support to the wider practice team as required. in line with clinical guidelines and confidentiality standards.

Person Specification

Experience Essential

- Previous experience working in a GP practice is essential. - Strong working knowledge of EMIS is essential. - Experience using Ardens for searches, reporting, and data quality work is desirable. - Good understanding of clinical coding, QOF, referrals, and primary care administrative processes. - Excellent attention to detail and accuracy. - Strong organisational and time-management skills. - Ability to multitask, prioritise workload, and work well under pressure. - Good communication skills and the ability to work effectively as part of a team. - Understanding of confidentiality, GDPR, and the importance of maintaining accurate patient records.
