Job SummaryThis position is located within the Portland Area Indian Health Service, Yakama Service Unit (YSU), Administration Branch. The position functions as an Office Automation Assistant performing office automation duties in connection with the management and processing of data related to administrative functions, clerical support, requiring standard procedures for documentation, communication, and information management.
QualificationsTo qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. MINIMUM QUALIFICATIONS: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Provides comprehensive administrative and clerical support in a professional office environment. Performs administrative support by managing office communications, routing and distributing mail, maintaining office files in accordance with records management procedures, assisting with reports and staff papers, responding to routine inquiries, and serving as a point of contact for visitors and telephone calls while directing matters to appropriate personnel. OR Four (4) years of education beyond the high school level. OR A combination of education and experience that when combined fully meet the minimum qualifications for this position. Only education in excess of the first 60 semester hours is creditable toward meeting the specialized experience requirement. The total percentage equals at least 100 percent to qualify for this GS-05 grade level. Must submit transcripts. In addition to meeting experience or education requirements, applicants for these positions must show possession of the following skills, as appropriate. Proficiency Requirements: Applicants must present evident passing the typing proficiency from a school or other organization authorized to issue such certification (40 WPM typing speed, WPM are based on a five minute sample with three or fewer errors.) Typing proficiency must be submitted with your employment application. Certificates or proficiency are acceptable for 3 years from date of issuance. Education: Must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. Time In Grade Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP). You must meet all qualification requirements by the closing date of the announcement.
Major DutiesManages office automation and administrative systems by creating, editing, storing, and maintaining documents using advanced software applications and established correspondence procedures. Processes procurement and financial transactions in the United Financial Management System (UFMS), including monitoring records, purchase card activity, and spending limits to ensure compliance and accuracy. Supports workforce administration by maintaining employee time and attendance records in the Integrated Time and Attendance System (ITAS), including overtime, compensatory time, and travel entries. Background Investigation Requirement: This position requires the successful completion of a federal background investigation as a condition of employment.
