About this role

Job summary

We are looking for an Executive Assistant / Engagement Officer to join GPS Healthcare and provide high-level administrative and organisational support to our Board, Partnership and Executive Management Team.

This is an important and varied role which combines executive support with responsibility for developing clear, timely and accessible communications across GPS Healthcare. The post holder will support senior leaders by coordinating meetings, preparing papers, taking accurate minutes, managing correspondence and helping to maintain effective systems and processes.

The role will also support internal and external communications, including staff and patient newsletters, social media content, patient feedback initiatives and engagement activity. The post holder will help ensure that communication across the organisation is clear, professional, culturally sensitive and reflective of GPS Healthcares values and priorities.

This role would suit someone who is highly organised, professional and discreet, with strong written and verbal communication skills and experience of supporting senior leaders or management teams. The successful candidate will be confident handling sensitive information, able to work with a range of internal and external stakeholders, and committed to improving patient and staff engagement.

Main duties of the job

Provide executive assistance to the Partnership, Managing Partner and other senior leaders, ensuring organisational goals and objectives are supported effectively.

Coordinate agendas, prepare papers and take accurate minutes at Board, Partner and senior management meetings.

Manage meeting logistics, including room bookings, equipment and hospitality arrangements for internal and external meetings.

Draft, initiate and respond to correspondence on behalf of senior leadership with accuracy and discretion.

Support internal and external event planning, ensuring professional and efficient delivery.

Maintain the highest levels of confidentiality, professionalism and integrity at all times.

Support the development and implementation of a communication strategy that improves patient engagement and satisfaction.

Plan and manage social media campaigns, content and patient feedback.

Plan and write quarterly patient newsletters.

Monitor and report on patient experience data, including satisfaction scores, feedback trends and outcomes of engagement initiatives.

Ensure that patient data is kept confidential at all times and shared on a need-to-know basis only.

There may be occasions where working hours need to be adjusted to support Partner meetings or senior leadership meetings taking place later in the day or early evening.

Person Specification

Experience Essential

Experience of providing support at Board or senior management level, including preparing agendas, coordinating papers, taking minutes, and monitoring actions. Significant diary and calendar management experience. Identifying service improvements based on feedback (patient or staff). Providing excellent customer service with internal and external stakeholders by telephone, email, and digital platforms. Demonstrable experience of dealing with highly sensitive and confidential information. Ability to work with external stakeholders.

Desirable

NHS background / experience. Experience in social media management or digital communications.

Qualifications Essential

GCSE English & Maths (A*-C or equivalent)

Desirable

Qualification in social media management, digital marketing, communications and engagement, or business administration

Knowledge/Skills Essential

Strong verbal and written communication skills with the ability to convey complex information in a clear and professional manner. Excellent organisational skills, attention to detail, and ability to manage multiple tasks and deadlines. Methodical approach and effective organisational skills. Proficiency in Microsoft Office applications (particularly Word and Excel). Ability to work collaboratively in a fast-paced, team-oriented environment. Familiarity with digital communication channels, including social media platforms, patient portals and mobile apps.

Desirable

An understanding of GDPR ACT and principles of confidentiality. Knowledge of regulatory and patient confidentiality standards.
