Job summary

We are a busy, friendly GP practice based in Hendon (NW4) seeking to recruit an experienced and enthusiastic Medical Receptionist to join our team.

This role requires prior experience working within a GP surgery or primary care setting. The successful candidate will be confident, organised, and professional, with excellent communication and interpersonal skills.

As the first point of contact for our patients both in person and over the telephone you will play a key role in delivering a high standard of patient care and ensuring the smooth day-to-day running of the practice.

We are looking for someone who thrives in a fast-paced environment, works well within a team, and remains calm under pressure.

Main duties of the job

Act as the first point of contact for patients attending the surgery or contacting the practice by telephoneBook, amend, and cancel patient appointments using the clinical systemHandle patient enquiries in a polite, professional, and confidential mannerProvide administrative support to clinicians and the wider practice teamMaintain accurate patient records in line with practice proceduresWork effectively as part of a busy frontline team in a fast-paced healthcare environment

Our team is made up of 3 GP Partners, 6 Salaried GPs, Nurses, Healthcare Assistants, Pharmacists, First Contact Practitioners (FCPs), and a dedicated Reception and Administrative team, all working collaboratively to provide a seamless and supportive healthcare service.

Reception & Patient CareAct as the first point of contact for patients, both in person and via telephoneProvide a welcoming, professional, and patient-focused service at all timesManage patient queries effectively, ensuring confidentiality is maintainedSignpost patients to appropriate services in line with practice protocolsAppointments & Clinical SystemsBook, amend, and cancel appointments using clinical systems (EMIS/SystemOne)Monitor appointment availability and escalate capacity issues when requiredEnsure accurate data entry and maintenance of patient recordsAdministrative SupportProvide administrative support to GPs, nurses, and the wider multidisciplinary teamProcess incoming and outgoing correspondence as requiredSupport repeat prescription processes in line with practice proceduresMaintain accurate and up-to-date electronic and manual recordsCommunicationLiaise effectively with clinical and non-clinical staffCommunicate clearly and compassionately with patients, carers, and external agenciesHandle difficult or sensitive situations with professionalism and empathyTeam WorkingWork collaboratively as part of the reception and admin teamSupport colleagues during busy periods and provide cover as neededContribute to a positive and supportive team environmentConfidentiality & ComplianceMaintain strict patient confidentiality in line with GDPR and NHS guidelinesAdhere to all practice policies, procedures, and health & safety requirementsParticipate in training and continuous professional development

Person Specification

Experience Essential

Previous experience working in a GP surgery or primary care setting Experience using EMIS and/or System One Strong understanding of the Medical Receptionist role within general practice Excellent communication and interpersonal skills Ability to remain calm and professional under pressure Good organisational skills with the ability to prioritise workload Strong IT skills and attention to detail Understanding of confidentiality, data protection, and information governance

Desirable

Experience working in a busy NHS environment Knowledge of NHS services and patient pathways
