Job summary
The specialist Autism Team are looking for a caring, highly motivated and approachable team administrator. We are a diverse multi-disciplinary team, working across both North and South Derbyshire, supporting adults with Autism who are at risk of placement breakdown or hospital admission. Our aim is to provide the care they need in the community to prevent hospital admission and we want you to help us offer the right information and care at a time that they need it most.
Main duties of the job
To provide and contribute to high quality front of house standard for services users and visitors. Provide administrative/secretarial support reflecting the professionalism of the service

Job description Job responsibilities
Provide a comprehensive administrative service to the SAT including typing/word processing of letters/memos, minutes, reports and other routine correspondence
Produce documents, charts, tables etc. by use of Office 365 packages e.g. Word, Excel, Access and disseminate information by email
Ensure the maintenance of accurate and efficient filing systems on computerised systems ensuring strict confidentiality of client identifiable information.
Taking of notes in a range of professional multi-disciplinary meetings as requested by SAT Clinical Operational Manager and/or LD Lead Administrator.
Prioritise and undertake general clerical tasks, including photocopying, filing, processing of mail, scanning, archiving and electronic filing.
Receive and make telephone calls on behalf of the service, taking messages, and dealing with enquiries appropriately and ensuring accurate and timely communication of messages.
Ensure timely collection and production of statistical data relating to the service as directed. Compiling reports where necessary for management information, and forwarding relevant information to other Trust departments as necessary.
Provide cover for other Administration colleagues anywhere in ND Services as required and designated by the nominated supervisor / manager; this may require working at different bases at times.
Undertake any other appropriate duties as may be delegated from time to time by LD Lead Administrator and/or SAT Manager.
Maintain a professional and confidential approach to work at all times.
To be familiar with and comply with relevant Trust Operational, Personnel and Health and Safety procedures.
Providing IT / EPR support to the clinical team, including taking the lead in collaborating with IT staff to facilitate maintenance and repair of hardware and software. Provide ongoing support to the clinical team to ensure data added to the EPR system is up to date and accurate. Actively participate in initiatives to improve user understanding of EPR systems and processes, dissemination good practice and knowledge, and act as an intermediate between the clinical team and the EPR team.

Qualifications Essential
oOCR/RSA Level 3 Word Processing or equivalent qualification/experience oGCSE English Language, grade A*-C or equivalent
Desirable
oIT qualification, eg ECDL, CLAIT or equivalent qualification/experience oOCR/RSA Level 2 Audio Transcription or equivalent experience oBusiness Administration NVQ Level 3 or equivalent qualification/experience
