Full-Time 40 Hours per Week

Fixed-Term Contract 6 Months (Maternity Cover)

We are seeking an experienced and enthusiastic Patient Assistant to join our friendly and supportive team on a fixed-term basis to provide maternity cover.

The successful candidate will have excellent communication, customer service, and organisational skills, with the ability to work effectively in a busy healthcare environment. Previous experience in a GP practice or healthcare setting is desirable. Experience using EMIS Web would be advantageous; however, full training will be provided for the right candidate.

As a Patient Assistant, you will play a key role in delivering an excellent patient experience, providing front-line reception and administrative support, managing patient enquiries, booking appointments, processing clinical information, and supporting the wider multidisciplinary team.

Main duties of the job

As a key member of our team, you will provide a professional and welcoming front-line service to patients, visitors, and colleagues, while supporting the smooth day-to-day running of the practice.

The role involves a wide range of reception and administrative responsibilities, including welcoming and directing patients, managing appointment bookings, registering new patients, processing clinical and administrative information, and responding to patient enquiries both in person and over the telephone.

You will act as a central point of contact for patients and healthcare professionals, ensuring that information, messages, and requests are communicated accurately and efficiently to the appropriate members of the multidisciplinary team. The successful candidate will work closely with clinicians, support staff, and external organisations, including hospitals, community services, and other healthcare providers, to help deliver an excellent patient experience.

Job description Job responsibilities

The following are the core responsibilities of the receptionist/administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels: a. Maintaining and monitoring the practice appointment system b. Process personal, telephone and e-requests for appointments c. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately d. Using your own judgment and communication skills, ensure that patients with no prior appointment but who need an urgent consultation are seen in a logical and non-disruptive manner e. Action all incoming faxes , f. Signpost patients to the correct service g. Process incoming and outgoing mail h. Initiating contact with and responding to, requests from patients, team members and external agencies i. Process referrals to external agencies such as secondary care using the electronic referral system (ERS) j. Process calling letters are requested k. Process all DNA letters in accordance with current policy l. Action GP2GP tasks m. Read code data on EMIS system n. Photocopy documentation as required o. File and store records as required p. Data entry of new and temporary registrations and relevant patient information as required q. Input data into the patients healthcare records as necessary r. Scanning of patient related documentation and attaching scanned documents to patients healthcare records s. Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team t. Manage incoming and outgoing practice e-mails. u. Manage all queries (including administrative queries) as necessary in an efficient manner v. Carry out system searches as requested w. Maintain a clean, tidy, effective working area at all times x. Monitor and maintain the reception area and notice boards. Support all clinical staff with general tasks as requested
