We are looking to recruit a highly motivated and enthusiastic Care Coordinator to join our friendly and professional team. This role is essential in providing high-quality administrative and reception support to ensure the smooth running of the practice and the best possible service for our patients.

This is a 36-hour per week position, worked Monday, Tuesday, Thursday and Friday, 8am6pm, and is a fixed-term maternity cover post until the end of April 2027.
Main duties of the job
This role plays a key part in supporting the smooth day-to-day running of the practice, combining both reception and administrative responsibilities. You will be the first point of contact for patients, providing a welcoming and professional service while assisting with appointment booking, telephone enquiries, and patient queries.
You will also support the clinical team by ensuring accurate and timely handling of patient information, including processing correspondence, maintaining records, and supporting communication between patients and healthcare professionals. The role involves working across multiple systems to help ensure patients are directed appropriately and receive safe, efficient care.
In addition, you will contribute to essential practice administration such as updating records, supporting screening and recall processes, and helping maintain high standards of organisation and compliance within the practice.
This is a varied and busy role within a supportive team, requiring strong communication skills, attention to detail, and a flexible approach to work.

This is a 36-hour per week position, worked Monday, Tuesday, Thursday and Friday, 8am6pm, and is a fixed-term maternity cover post until the end of April.
Main duties include opening and closing the surgery and ensuring the building is secure, answering and handling telephone calls, taking accurate messages and responding appropriately, and welcoming and assisting patients and visitors on arrival at the practice. You will be responsible for booking appointments, managing home visit requests, monitoring patient flow, and ensuring an efficient appointment system.
The role involves processing prescription requests within two working days, maintaining accurate patient records, and ensuring filing is kept up to date. You will manage incoming and outgoing mail, support electronic communication, and ensure the reception and waiting areas are kept tidy and welcoming.
You will handle and organise clinic letters to ensure a smooth flow of information within the practice, manage the practice email inboxes, and use SystmConnect to allocate patients to the appropriate clinician and support timely care. You will also summarise patient medical records to ensure key information is accurate and accessible for clinical staff.
Additional responsibilities include generating drug monitoring reports, recording cervical and bowel screening results, and sending reminders to non-responders. You will carry out premises checks including emergency lighting, water temperature monitoring, fire extinguisher checks, fridge temperature monitoring and cleaning audits.
You will manage tasks via SystmOne promptly and accurately, maintain vaccination records, and support the scanning and digitising of incoming mail and patient records. You will be required to handle sensitive and confidential information with discretion at all times.

Person Specification
Qualifications Essential
GCSE grade A to C in English and Maths.
Experience Essential
Experience in an administrative role. Experience of working with the public.
Desirable
Previous experience in an NHS setting or GP Practice Previous experience of using SystmOne.
