About this role

Job summary

We are seeking a highly organised and proactive Administration Assistant to support our busy practice team. 20 hours per week, 4/5 hours per day, shift starts at 12.00pm.

The ideal candidate will be responsible for a wide range of administrative duties, with a strong focus on accuracy, efficiency, and attention to detail. A key part of the role involves coding patient information onto the SystmOne clinical system, so the ability to work carefully with clinical data and follow procedures is essential.

Interviews will be held during the week commencing 06/07/2026.

Main duties of the job

The post holder will be responsible for:

Processing incoming and outgoing mail, emails, and patient documents

Scanning and accurately recording information into patient records

Read-coding clinical information using SystmOne

Handling phone calls and responding appropriately to enquiries

Supporting clinicians and colleagues with general administrative tasks

Ensuring information is processed accurately and in a timely manner

The role requires someone who can work under pressure, maintain confidentiality, and consistently deliver high quality administrative support in a healthcare environment.

We are a three GP Partnership supported by dedicated teams including Salaried GPs, Clinical Pharmacists, Practice Nurses and HCAs, Urgent Care Practitioners, alongside Mental Health Practitioners and Physiotherapists. These clinical teams are supported by excellent reception, administration and management teams.

Job description Job responsibilities

To be responsible for undertaking a wide range of administrative duties. Duties will include being responsible for the read-coding of relevant information into the patients electronic healthcare records on SystmOne clinical system, adhering to the practice coding policy. Open surgery post, deal with incoming emails and scan patient documents, also processing of information (electronic and hard copy) in a timely manner and in accordance with current policies. Additionally, the post holder may need to support the administration and receptionist teams when required. Duties are not exhaustive and may change due to the needs of the Practice.
