Job summary
We are looking for a motivated and operationally focused Deputy Practice Manager to take a leading role in delivering the practices contractual, quality and service objectives. Working closely with the Practice Manager, Partners and clinical leads, you will use data, digital tools and operational planning to turn performance into action and maximise achievement across QOF, IIF, Enhanced Services, immunisation programmes and other contractual requirements.
A key part of the role will involve coordinating nursing, pharmacist and healthcare assistant clinics to ensure the right patients are identified, invited and reviewed at the right time. You will oversee recalls, searches, reporting, campaign planning and service delivery processes using systems including EMIS, Ardens and Accurx to improve uptake, close performance gaps and support excellent patient outcomes.
Alongside performance delivery, you will provide operational leadership across administrative support functions, contribute to workforce coordination and development, support digital improvement projects and help ensure the smooth day-to-day running of a modern, forward-thinking general practice.

Duties may be varied from time to time under the direction of the Practice Manager and/or partners, dependent on current and evolving practice workload and staffing levels. This includes:
Ensure a good knowledge of service specifications eg QOF, ECF, IIF, immunisation programmes and plan how to achieve these targets through co-ordinating nursing and pharmacist clinics Run and interpret EMIS and Ardens searches, audits and performance reports Monitoring recall register. This may include creating and modifying EMIS and Accurx templates/protocols/forms/documents Complete and submit monthly or quarterly enhanced service claims Monitor weekly/monthly care home specification requirements to ensure these are met Update website, screen slides in waiting rooms and answer phone messages as necessary Organise and coordinate annual Flu/Covid Campaign Be involved in project work (e.g. new software/app launch) as directed by Practice Manager. Line manage 4-5 administrative support staff members (rota/annual leave/absences) of the support team and carry out appraisals/development support 10. IT and Digital Support: Set up user profiles, Smartcards and system access for new starters. Assist in the training of new staff on EMIS system. Support with IT issues to ensure smooth running of the clinics. Working with IT lead to help facilitate new IT solutions

Participate in practice improvement and digital transformation projects Manage 4-5 admin staff members (rota/annual leave/absences) of the support team and carry out appraisals/development support Set up IT profiles etc for new starters including Smartcard. Assist in the training of new staff on EMIS system. Support with IT issues to ensure smooth running of the clinics. Working with IT lead to help facilitate new IT solutions.

Person Specification
Experience Essential
Experience of working within a support/administrative team using EMIS/ARDENS
Desirable
GP NHS Experience of minimum 2 years
