Applications are invited for the exciting, varied and rewarding post of Phlebotomy Team Administrator.
You will join our dedicated, enthusiastic , forward thinking and friendly Phlebotomy Team providing a professional, effective, efficient and consistently high level of quality administrative support to the Phlebotomy service.
We are looking for a self-motivated, pro-active, hardworking team player with excellent verbal and written communication skills who enjoys a challenge, the ability to use their initiative and welcomes are role in which 2 days are never the same.
The post is based within the Pathology Department at Dorset County Hospital however there may be occasions when the post holder would be required to attend South Walks House located in the centre of Dorchester or visit Weymouth Community Hospital.
The post holder would be required to work Monday to Friday from 09:30 to 15:30 however flexibility around the hours would be considered.
Main duties of the job
Provide general administrative support to the Phlebotomy Team Leader and the wider Phlebotomy team as required To be the Healthroster focal point within the Phlebotomy Team and be responsible for the timely inputting of annual leave, sickness records, TOIL and overtime claims onto Healthroster. To provide administrative support and ensure access to and availability of up to date SOPs, training documentation and governance guidelines To monitor the Phlebotomy Team's i) compliance with all relevant statutory & mandatory training and ii) appraisals ensuring all Teams members and relevant records are up to date. Escalating any concerns to the Team Leader where appropriate To monitor and maintain a robust Phlebotomy audit schedule To support the Phlebotomy Team Leader with the production of training packs for new team members Responsibility for collating and maintaining an accurate database of Phlebotomy appointment numbers and providing required Phlebotomy data to relevant Stakeholders in a timely manner Responsibility for managing the Phlebotomy booking line and ensuring that all calls are answered and appointment are booked in a timely manner; escalating queries where necessary to the appropriate colleague First port of call for all queries relating to the Phlebotomy Team both internal and external to the Trust Minute taking and production of agenda and minutes relating to the Phlebotomy Team monthly meetings

Education, Qualifications & Training Essential
oGCSE or equivalent in Maths, English and a Science subject at grade C or above oNVQ level 3 or equivalent in a related subject
Experience Essential
oWork carried out to meet specific deadlines oExperience of and confident working with Microsoft Office oPrevious secretarial experience to include producing agendas, minutes and minute-taking oPrevious experience of ensuring action points arising from meetings are progressed and followed up in a timely manner oExperience of booking appointments
