About this role
Executes and coordinates operational activities in the scope of operational systems (IT/OT, System & Data Management). Other than that, supports the operational reliability, security, and performance of FM’s operational technology (OT) and facility-related IT systems. This role ensures data accuracy, manages digital records, administers system lifecycles, and provides technical support for key building systems. Besides that, the position contributes to the compliance of FM systems to BNM’s IT policies by improving system integration, strengthening of OT governance, and supporting data-driven decision-making for facilities operations.
This is critical to the success of the department which involves analysing system’s performance, facilitating communication, and any other roles to ensure alignment with departmental goals, sectoral achievements and Bank’s strategic results.
PRINCIPAL ACCOUNTABILITIES (Key responsibilities and tasks that the role performs)
1. IT/OT Systems Operations & Administration
• Act as the system administrator, monitor, maintain, and troubleshoot OT systems used across the Bank’s facilities such as Integrated Building Management System (IBMS), Building Automation System (BAS), Energy Management System (EMS), Chiller Plant Management System (CPMS), Data Centre Infrastructure Management system (DCIM), Fire Alarm System (FAS), Asset Management System, FM feedback system (HelloFM), ServiceNow system and others, to ensure high availability of these critical systems. • Support integration between IT and OT systems, ensuring data flow integrity and alignment with cybersecurity standards. • Maintain system configurations, user access, and documentation in compliance with internal governance and regulatory frameworks. • Develop mitigation controls for IT/OT system obsolescence to ensure compliance with the relevant guidelines with the main purpose of minimizing risks exposure for the Bank. i.e. tracking of systems’ license validity, users’ password validity, etc.
2. Data Governance, Analytics & Reporting
• Execute data extraction, ensure accuracy, completeness, and consistency of operational data across systems and databases supporting effective and efficient FM operations. • Prepare periodic operational dashboards, performance reports, and data insights to support FM operation decision-making.
3. Work Order & Asset Management System (New System)
• Act as the system administrator for the Work Order & Asset Management System for stronger vendor and system governance. • Coordinate system setup, user roles, workflow mapping, and preventive maintenance scheduling for clear roles and access control together with standardized workflow. • Ensuring the new system is able to maintain asset records, asset tagging, lifecycle histories, warranty documentation, and vendor assignments for accurate and complete asset visibility. • Provide first-line support to users, including logging issues, guiding user adoption, and escalating system errors when required to improve system reliability and availability. • Monitor system performance, ensure data integrity, and collaborate with vendors on enhancements, upgrades, or integrations to ensure stable and high-performing systems. • Use of data to improve asset reliability, reduce downtime, and optimize maintenance planning.
4. System Development, Implementation & Improvement
• Participate in the design, testing, and rollout of new IT/OT solutions supporting Facility Management operations to ensure fit-for-purpose and improved operational efficiency. • Assist in developing system requirements, user acceptance testing, and documentation for new digital initiatives to meet user and operational needs. • Identify digitalization opportunities to streamline FM workflows and improve service delivery. • Maintain SOPs, user manuals, and technical guides for IT/OT-enabled processes.
5. Cybersecurity & Compliance
• Support implementation of IT/OT cybersecurity controls, including patching, access control, and log monitoring for reduced cybersecurity risk to critical system. • Ensure compliance with the Bank’s technology risk, cybersecurity, and operational resilience frameworks. • Coordinate with IT Cybersecurity team during assessments, audits, and incident response activities to align IT-OT cybersecurity posture.
Academic Qualifications: Bachelor’s degree in IT, Engineering, Computer Science, Data Science, or related fields.
Experience:
• 1–4 years of experience in IT/OT operations, system administration, facilities technology, or data management. • Experience with any Computerised Maintenance Management System (CMMS), Computer-Aided Facility Management (CAFM) system or Enterprise Asset Management (EAM) system is an advantage. • Experience in managing or supporting a Work Order or Asset Management platform is an added advantage.
PREVALENT & EMERGING SKILLS Prevalent:
• Knowledge of IT and OT systems used in facility operations. • System administration, data management, and troubleshooting skills. • Data analytics proficiency (Excel, Power BI, or equivalent). • Strong analytical and problem solving skills. • Good communication, teamwork, and stakeholder engagement. • Ability to work independently and prioritize multiple tasks.
