Job summary
One You Kent is Kents free, countywide lifestyle and wellbeing service, supporting adults to make positive, sustainable changes to improve their health and reduce the risk of long-term conditions. The service provides evidence-based support including smoking cessation (whole of Kent), weight management, physical activity and healthy lifestyle interventions (East Kent only), delivered through a strengths-based, person-centred approach. Working closely with GP practices, Primary Care Networks, local authorities and community and voluntary sector partners, One You Kent is embedded within local communities to ensure support is accessible, inclusive and responsive to local need. The service plays a key role in reducing health inequalities across Kent through partnership working, community engagement and flexible delivery models.
Main duties of the job
The Central Referral Unit Coordinator plays a vital role in the smooth and effective operation of One You Kent by acting as a central administrative and contact function for the service.
You will support the CRU team by managing referrals, handling enquiries, maintaining accurate records, booking appointments, and ensuring clients and professionals receive a timely, professional, and person-centred response. The role is key to ensuring performance targets, data quality standards, and contractual timescales are consistently met.

Central Referral Unit & Referrals
Act as a first point of contact for One You Kent via telephone, email, and digital referral systems
Receive, process, and manage referrals in line with service pathways and agreed timescales
Accurately triage and allocate referrals to the appropriate pathway or West and North Kent Providers
Maintain clear, professional communication with service users and referring professionals
Administration & Data Management
Update and maintain client records accurately on service databases and systems
Manage confidential patient information in line with GDPR and information governance requirements
Prepare and send letters, emails, and other correspondence to clients and professionals
Record activity and outcomes accurately to support monitoring, reporting, and performance management
Appointments & Client Support
Book, amend, and cancel appointments using relevant scheduling systems
Respond to queries from clients regarding appointments, pathways, and service access
Provide clear information and reassurance in a professional and empathetic manner
Team & Service Support
Work closely with the CRU Team Lead and wider service teams to support service flow and capacity
Assist with workload monitoring and weekly performance checks
Contribute to the preparation of reports, spreadsheets, and documents as required
Take meeting minutes and support administrative preparation for meetings as required
Provide flexible cover for colleagues during annual leave or sickness
Quality, Compliance & Improvement
Work in accordance with service policies, procedures, and contractual requirements
Contribute to continuous service improvement by identifying process efficiencies
Support audits, data quality checks, and service reviews when required

Person Specification
Qualifications Essential
GCSE (or equivalent) in English and Maths
Desirable
NVQ Level 3 (or equivalent) in a relevant subject
Experience Essential
Experience of working effectively as part of a team Demonstrable experience in an administrative role
Desirable
Experience in health, public health, community or social care setting Experience within a referral unit, referral management or contact-centre environment Willingness to work flexibly to meet service needs and evening and weekends as required
