The post holder is responsible for the secretarial services of the practice, providing general secretarial support to the practice manager, doctors and other health professionals. The post holder will take administrative responsibility for medical student teaching supporting the clinicians involved.

Main duties of the job

Provide efficient and professional administrative support to clinical teams, acting as a key point of contact for patients, staff, and external organisations. Manage correspondence, appointments, and medical records accurately, ensuring confidentiality is maintained at all times. Coordinate clinic schedules, process referrals, and support the smooth day-to-day running of services. Communicate sensitively with patients, handling enquiries and providing clear information to support their care experience.

JOB TITLE: MEDICAL SECRETARYREPORTS TO: PRACTICE MANAGERHOURS: 37.5 hours per weekJob Summary:

The post holder is responsible for the secretarial services of the practice, providing general secretarial support to the practice manager, doctors and other health professionals. The post holder will take administrative responsibility for medical student teaching supporting the clinicians involved.

Job Responsibilities:

Secretarial

Processing of information (electronic and hard copy) in a timely manner

Liaising with multidisciplinary team members and external agencies such as secondary care and community service providers in accordance with current policies

Typing letters, reports and associated documentation as required

Processing referrals using the electronic referral system (ERS) including and not limited to referral related emails, meeting related emails, A&G list, triage responses/rejected list, assessment/cancelled referrals, incomplete UBRNs, missing referral letters, referrals pending External Action, EMIS referrals, IFRs etc.

Scanning of patient related documentation and attaching scanned documents to patients healthcare records

Processing requests for information i.e., SAR, insurance/solicitors letters and DVLA forms

Assist with general secretarial administrative tasks

Adhere to practice policies and procedures, including those related to patient confidentiality and data protection

To liaise and arrange clinical meetings including attending meetings and taking minutes. To keep a record of referrals To provide cover for members of the secretarial team during periods of sickness and annual leave To maintain adequate supplies of office stationery in order to perform your secretarial duties. Chase up appointments for patients Assisting in organising PPG meetings and minute taking. To perform any other duties as requested by the practice manager, assistant practice manager, operations manager or clinicians

Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data

Using personal security systems within the workplace according to Practice guidelines Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks Making effective use of training to update knowledge and skills Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards Reporting potential risks identified

Person Specification

Qualifications Essential

GCSE grade A to C in English and Maths

Desirable

-Previous experience in a similar role would be desirable. -We would welcome candidates with prior experience in this role or a comparable position. -Experience in a similar role is desirable but not essential. -It would be advantageous to have previous experience in this role. -Candidates with relevant experience in this role are preferred.
