Job summary
The Northern Cancer Alliance invites applications for an Admin Support Officer to provide vital administrative and secretarial assistance across the organisation. In this role, you will support senior managers day to day as well as prepare meeting materials, arrange and minute meetings, handle correspondence, and update filing systems, ensuring clear communication and confidentiality at all times.
You'll manage your own workload, support other team members, and help coordinate online events and presentations. The position requires excellent digital skills, attention to detail, and the ability to prioritise tasks independently while following Trust policies. Experience with IT systems such as Outlook, Word, Excel, Copilot and PowerPoint is essential, as is a commitment to working with the public in an inclusive environment.
This is a hybrid role, combining home working with attendance at our base sites (Northumbria House at Cobalt or North Ormesby Health Village), as well as attendance at provider and service partner sites across the North East and North Cumbria. The post holder will be expected to work flexibly, balancing home working with in-person engagement as required to support delivery of the programme.

Main duties of the job
Support senior managers day to day as and when required,
Preparing documents, reports and materials in readiness for meetings. Arranging meetings, booking rooms and hospitality, compiling agendas; taking formal minutes and chasing actions.
Planning and updating diaries, maintaining effective bring forward systems
Updating filing systems (paper and electronic including SharePoint)
Ensuring all correspondence is accurately and appropriately presented, this includes proactive management of emails
Word processing - typing (including audio) of general correspondence and reports
Using proficient and accurate internet and AI skills to access, search and retrieve information
Handling queries and ensuring that relevant information is shared and confidentiality is maintained
Setting up and supporting Teams calls and webinars
Creating and designing presentations using PowerPoint
Data input using databases, spreadsheets
Coordinating travel and accommodation requests as required

The NCA consists of statutory and non-statutory bodies but is not a statutory organisation in its own right. We are a hosted organisation with Northumbria Healthcare Foundation Trust.

Person Specification
Qualifications Essential
Educated to NVQ 4 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience.
Experience & Knowledge Essential
Significant administrative/ secretarial experience including initiating and maintaining office systems. Intermediate knowledge of IT systems and software programmes such as Outlook, Word, Excel, PowerPoint, Copilot and Access.
