As a Medical Receptionist, you will play a key role in ensuring the smooth day-to-day running of the practice. You will be the first point of contact for patients and will provide a professional, friendly, and efficient service at all times.
The successful candidate will be an excellent communicator, highly motivated with the skills to undertake a variety of reception duties to assist in the smooth running of the practice. The post holder will have the ability to think on their feet, influence and inspire others to work with them, and be able to deliver work in a highly pressured and fast paced environment.
We are seeking a proactive receptionist to join our dynamic primary care team to work 30 hours over 5 days per week. This is an excellent opportunity for someone who thrives in a fast-paced environment and enjoys making a real difference.
Main duties of the job
Our reception team are key members of the practice, playing a vital role in ensuring the smooth and efficient day-to-day running of services. This is a dual role, involving the scanning and prioritisation of incoming mail, alongside front-of-house reception duties for the remainder of each 6-hour shift.
As the first point of contact for patients, you will require excellent communication and listening skills, with the ability to effectively signpost patients to the most appropriate clinician or service.
Key Duties and Responsibilities:
Open and secure the practice premises in accordance with established protocols
Manage and maintain the appointments system efficiently
Process patient requests for appointments, home visits, and telephone consultations
Signpost patients and callers to the appropriate healthcare professional or service
Handle, scan, and prioritise incoming and outgoing mail
Take accurate messages and ensure timely communication with relevant staff
Enter, update, and maintain patient records in line with practice procedures
Respond to enquiries from patients, colleagues, and external healthcare providers
Support the clinical team by preparing and clearing consulting rooms when required
Provide general administrative and clerical support to the wider team
Please note that duties may vary in line with the needs of the practice and under the direction of the Senior Receptionist or Deputy Practice Manager.

Job Summary:
The purpose of the role is to:
Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way
Undertake a variety of administrative duties to assist in the smooth running of the practice including the provision of secretarial and clerical support to clinical staff and other members of the practice team
Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies
Duties and Responsibilities:
The duties and responsibilities to be undertaken by members of the practice administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Senior Receptionist/ Deputy Practice Manager, dependent on current and evolving practice workload and staffing levels:
Opening up/locking-up of practice premises and maintaining security in accordance with practice protocols Maintaining and monitoring the practice appointments system Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional Processing and distributing incoming (and outgoing) mail Taking messages and passing on information Scanning Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers Clearing consulting rooms as required

Experience of dealing with the general public, preferably in a customer service environment. A good standard of grammar and spelling in the English language The ability to produce accurate and thorough work, including alphabetical filing.
