Job summary
Cumbria Medical Services is looking to recruit a Patient Booking Coordinator. Primarily the Booking Coordinator ensures the effective management of all incoming NHS referrals using the E-Referral system and ensures that adequate clinic slots are available at all times.
The role also involves handling of patient enquiries and requests courteously and efficiently and maintaining confidentiality of any information in connection with the work.
Carrying out other administrative tasks as the need arises, either to comply with current service regulations or accepted current medical practice, or for the best interests of the service to patients.
This is a permanent position for 3 days a week (including a Friday and then 2 flexible days between Tuesday to Thursday). The working days/pattern will be discussed with the successful applicant, but you must be able to work Fridays to cover the service.
Our basic salary is £13.75 per hour, which may rise, dependent on the skills and experience of the candidates.
We also offer free private medical insurance once the probationary period has been successfully completed.
Holidays are 26 days per year plus 8 bank holidays, rising after 5 and 10 years.
We work in a small very friendly environment with modern facilities; tea and coffee are provided.

Main duties of the job
To answer incoming calls in a polite and professional manner
To retrieve referrals from the e-RS software.
To ensure that all new and follow-up patients receive an appointment within appropriate clinical and administrative timescales.
To co-ordinate with the Rota Co-ordinator to ensure that an adequate number of clinic appointment slots are available at all times on the clinical system
To monitor clinic cancellations, and to ensure the patients demographic details, clinic waiting times and other key data are accurately checked and actioned as necessary.
To reschedule patient appointments which result in the cancellation of a clinic, ensuring that clinic slots are correctly cancelled and reallocated.
To liaise with the GPwSI and or relevant GP on matters relating to clinical care.
To respond to any queries from patients regarding administration of clinics and appropriately refer any clinical matters to the GPwSI in charge.
To ensure the use of the internal system and associated systems are carried out according to practice guidelines and procedures
To maintain appropriate patient records and spreadsheets including results and patient satisfaction.
To provide patients with basic clinical advice
To process correspondence
To cover reception for clinics if necessary

CMS delivers clinics from 5 different locations throughout Cumbria including community hospitals and a GP surgery The service is delivered by GPs with Special Interest in Dermatology, Minor Surgery and Ophthalmology.
