As the Estates Help Desk Administrator & Coordinator you will provide comprehensive administrative and system support to ensure the smooth and efficient running of the Estates department. The role is central to maintaining accurate records, managing the flow of information, and ensuring compliance with operational and financial processes.

You will support the Estates team in coordinating maintenance activities, processing invoices, and providing responsive service to Elysium sites and external partners.

As the Estates Help Desk Administrator & Coordinator, you will:

Provide day-to-day administrative support to the Estates team and help desk function. Maintain and update the CAFM (Computer Aided Facilities Management) system, including logging jobs, updating status reports, and maintaining accurate PPM (Planned Preventative Maintenance) schedules. Process and track invoices on the Unit4 system, ensuring timely and accurate submission, coding, and approval. Produce, update, and maintain spreadsheets and Word documents to support estates operations, compliance tracking, and reporting. Respond to and resolve queries from Elysium sites, escalating issues where appropriate to Estates management. Support the management team with data entry, document control, and report generation to ensure accurate performance and audit records. Coordinate communication with internal teams and external contractors to ensure efficient maintenance scheduling and task completion. Contribute to continuous improvement within the Estates function by identifying process efficiencies and supporting implementation. Provide general administrative cover and support to the wider Estates function as required. To be successful in this role, you will have:

Previous experience working at a Help desk and within an estates department (D) Experience using CAFM systems Experience using ERP systems, such as Unit4 Experience working in a multi-sited organisation, with Estate support requests coming from various departments and staff Strong administrative background, ideally within Estates, Facilities, or a similar operational environment Proficiency in Microsoft Office (Excel, Word, Outlook) Excellent attention to detail and accuracy in data entry and document management Strong organisational and time management skills with the ability to handle multiple priorities Clear and professional communication skills, both written and verbal Knowledge of the estates functions and healthcare sector What You’ll Get

Qualifications Essential

Previous experience at a help desk and within an estates department. Experience using CAFM systems and ERP systems like Unit4. Experience in a multi-sited organization, with estate support requests from various departments. Strong administrative background ideally within estates or a related environment. Proficiency in Microsoft Office (Excel, Word, Outlook). Attention to detail and accuracy in data entry and document management. Strong organizational skills and ability to manage multiple priorities. Professional communication skills, both written and verbal. Knowledge of the estates functions and healthcare sector.
