About this role

Job summary

To deliver a high-quality administrative and clerical service, ensuring an effective, efficient, and patient-focused service across Ocular Oncology, Medical Retina, Ocular Plastics, and Orbital services.

The post holder will have a comprehensive understanding of all administrative processes across these specialties and will support the development and maintenance of SOPs. They will be responsible for coordinating referrals, managing patient pathways, overseeing appointment bookings, and supervising the day-to-day administrative function across these teams.

The role includes providing guidance and support to administrative staff, ensuring consistency of processes, and maintaining high standards of service delivery. The post holder will liaise with patients, clinicians, and external organisations to ensure smooth and efficient service provision.

They will demonstrate excellent knowledge of the 18-week RTT pathway, contribute to performance monitoring, and support training of staff. A strong understanding of confidentiality, data protection, and the ability to work under pressure is essential.

Main duties of the job

Supervise and support administrative staff across multiple ophthalmology specialties

Manage referrals, patient pathways, and appointment bookings in line with RTT targets

Monitor waiting lists and escalate potential breaches.

Maintain accurate patient records and ensure data quality and confidentiality.

Handle enquiries and correspondence with patients, clinicians, and external agencies.

Provide training and act as a point of escalation for administrative issues.

Support service delivery, quality standards, and general administrative functions.

The Directorate of Ophthalmology offers diagnosis and treatment for patients with a wide range of eye conditions, including glaucoma, cataract, oncological disease, corneal and retinal conditions, and trauma.

As well as serving the needs of the city of Sheffield, the Directorate provides a tertiary service for the region and beyond. The Directorate is a national centre for Ocular Oncology. There are 100,000 attendances in the department every year. Nurses and Technicians in the department have extended their practice to include some screening and monitoring procedures, minor operations, and treatments in the clinics.

The Directorate also operates an Emergency Eye Centre. Approximately 8000 surgical procedures are treated each year, most on a day case basis.

Qualifications Essential

GCSE (or equivalent) in English and Maths at Grade C/4 or equivalent experience

Desirable

NVQ Level 3 in Business Administration (or equivalent)
