An exciting opportunity has arisen for a forward thinking and dynamic Personal Assistant to join the Surgery Division, supporting the Senior Management team as a Personal Assistant.
Main duties of the job
We are seeking an enthusiastic, exceptionally well organised individual to support the Divisional Management Teams. Responsibilities will include organising meetings, taking minutes of meetings, diary management and ensure smooth running of the administration for the management team. Main duties of the job:
Take responsibility for tasks that are delegated to you and ensure information and/or replies requested are pursued and received within the appropriate timescales. This will entail a good understanding of the work of the Division and the ability to foster good working relationships with staff internal and external to the Trust
Maintain knowledge of NHS developments/initiatives both locally and nationally and Trust policies and procedures
Organise and prepare meetings, agendas and minutes
Planning, organising and managing diaries

Qualifications Essential
GCSE English grade A-C or equivalent ECDL or equivalent
Desirable
RSA Level 3 Audio Typing Proficient minute taking
Experience Essential
Previous experience of working unsupervised and to tight deadlines Effective time management through organisation and diary management. Previous experience in the NHS Experience of Microsoft Office
Desirable
Experience of supervising staff Knowledge and experience of the NHS quality and patient safety agenda Experience of working as a Personal Assistant or equivalent in career
Skills Essential
Excellent communication skills at all levels, both in a written format and verbally, within a wide range of internal and external individuals/ agencies. Excellent organisational skills requiring a flexible approach. Understanding of the need for a high level of confidentiality. Ability to prioritise workload. Must be self-disciplined, friendly, approachable, reliable, trustworthy, highly motivated, enthusiastic, discrete and committed. Continually develop physical and advanced keyboard skills to an advanced level. Ability to work under pressure in a busy working environment and able to multi-task and prioritise completing tasks effectively. Able to work with own initiative.
Desirable
Broad knowledge of the NHS and linked agencies. Detailed overview of work undertaken/ responsibilities within the PCT. Willingness to learn other software packages.
