About this role

Job summary The Children, Young People and Family Health Services Directorate, has an exciting opportunity for a motivated and enthusiastic individual to join us as an Administration Team Leader for the School Nursing Service for the Early Intervention & Prevention Care Group. The successful applicant should have a proactive and friendly attitude, be able to demonstrate substantial administrative / secretarial experience and meet the main duties of the role. It's important that you are an excellent communicator with experience of working to tight and changing deadlines. You will be highly organised and efficient with experience of the School Nursing Service and the programs they support within all Primary and High Schools, excellent time management skills, and have the ability to prioritise workload and to deal with conflicting demands. A high level of attention to detail supported by strong computer skills is essential and proven skills and experience of providing support to the Admin and Nursing teams. As a key leadership role within the team, you will have experience of supervising / line managing staff and be able to demonstrate initiative in planning yours and others workloads to effectively support the service. This role will be an ideal opportunity to further develop those skills in a fast paced environment. Main duties of the job . Managing a team of Admin staff for the School Nursing Service . Supporting the School Nurses with campaigns . Management of multiple email inboxes. Understanding of GDPR/Confidentiality. . You will be involved in the following tasks/projects: Shortlisting and interviewing Logging and monitoring sickness and approving annual leave on ESR Keeping the electronic staff files system up to date. The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

Person Specification

Qualifications Essential

NVQ Level 4 and/or equivalent experience Evidence of continuing professional development. Relevant secretarial or typing qualification. Good standard of general education and good knowledge of data protection law.

Desirable

ILM level 3 or willingness to work towards

Experience Essential

Administration experience in a clinical setting including waiting list management Knowledge of administrative procedures and systems The ability to deal with non-routine issues by problem solving and developing processes and procedures Demonstrable experience of line managing staff including training, recruitment and implementing human resource management policies Experience of dealing with patients and families including successful resolution of low-level, informal concerns Experience of managing a demanding workload within a team to facilitate effective service delivery

Skills Essential

Excellent IT skills including the Microsoft Office Suite Effective communication including both written and oral skills Excellent time management skills and the ability to work to deadlines Able to maintain confidentiality and deal with sensitive information
