Job summary

We are seeking an Admin Officer / Receptionist for the Renal Services department at Sheffield Teaching Hospitals.

The post holder will provide clerical support to the Renal Clinical Nurse Specialist Teams and patients.

Main duties of the job

Duties will include:

To undertake a comprehensive administration service to the Renal Clinical Nurse Specialist Teams, working as part of the Clinical Nurse Specialist Administrative Team hub.

Organise Consultant/Specialist Nurse outpatient activity, using hospital EPR systems, and any other identified sources, eg MS Excel Spreadsheet, to book new and follow up appointments in line with Trust/National policy to meet local and National targets.

To act as an initial point of contact the GP's, consultants, medical staff and health care professionals for queries relating to the Clinical Nurse Specialist Teams, taking accurate messages as and when required.

Arrange clinic cancellations and amendments in line with Trust policy to meet local and National targets liaising with the and consultants and any other relevant staff to maintain an efficientservice.

Liaise regularly with colleagues including management team, consultants and other administrative staff to ensure full utilisation of all available outpatient slots.

Person Specification

Education and Qualifications Essential

GCSE at Grade C/4 in English and Maths (or equivalent qualifications) or equivalent experience

Desirable

NVQ Level II in Business Administration / Customer Service / IT

Experience Essential

Experience of working within an office environment Experience of working in a public facing role.

Desirable

Relevant experience within the NHS

Further Training Essential

Knowledge of / experience of using information and/or customer service systems Working knowledge of Microsoft Office packages including Outlook, Excel and Word

Desirable

Previous experience Infoflex / 59R Software Previous experience of PAS / Infoflex / SystmOne (area specific software)

Skills and Knowledge Essential

Understanding of data protection issues and the ability to maintain confidentiality Excellent communication skills, with ability to deal with staff at all levels Displays use of initiative with effective organisational skill Ability to prioritise and work to strict/conflicting deadlines On-going commitment to personal development
