About this role

Job summary This post supports the Ophthalmology Directorate in ensuring effective administrative oversight and safe patient flow across Ophthalmology pathways. Working closely with Service and Clinic Managers, the role helps ensure outpatient clinics run smoothly and services are delivered within agreed activity levels, targets, and budget. The post provides proactive management of referral workflows, tracks patients to ensure appointments occur within clinically led timescales, and has responsibility for supervising and delegating work within the administrative team.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Main duties of the job This post provides dedicated failsafe and operational support for ophthalmology subspecialty pathways, ensuring safe clinic capacity, effective patient flow, and timely access to care. The role is responsible for managing outpatient waiting lists and referral workflows, tracking patients to ensure appointments occur within clinically appropriate timescales, and escalating capacity or pathway risks to prevent delays or loss to follow-up. The post ensures high standards of data quality, RTT compliance, and supports audit and performance reporting against national and local targets. Acting as a key point of contact for patients, clinicians, GPs, and internal stakeholders, the role delivers clear communication and empathetic support. The post also contributes to financial and activity assurance, supervises and trains administrative staff, and maintains accurate digital records and systems to support safe, compliant service delivery.

Person Specification

Qualifications Essential

Educated to A level, NVQ Level 4 or equivalent experience.

Desirable

Ophthalmology terminology, understanding of patient pathways. Experience of Data base Management Experience of capacity planning and pathway processes

Experience Essential

In-depth knowledge of IT system application: Microsoft, Word, Excel, keyboard skills, and Outlook office management systems. Analytical skills Experience of accurate data inputting and data retrieval Experience of working autonomously and part of a team Able to interpret information and report key issues identified

Desirable

Experience of working in the NHS. Experience of using Microsoft Access, PowerPoint Experience, OpenEyes EPR systems Experience of creating and developing databases. Experience of supervising/managing people. Experience of managing NHS waiting lists or similar initiatives.
