Our perinatal and maternal mental health services have developed significantly over recent years with considerable focus on the expansion of the workforce to work towards the Long Term Plan ambitions.
The Business Support Officer provides a pivotal role in delivering professional, efficient, and comprehensive business, governance, and project support to the Service Manager, Clinical and Team Leaders across the three Perinatal and Maternal Mental Health Services within the Children and Families Care Group at Midlands Partnership University NHS Foundation Trust.
This is a full-time position (37.5 hours) but we will consider requests for part-time working (minimum 0.8wte). There will be a mixture of hybrid working as well as, travel across Staffordshire and Shropshire.
Main duties of the job
To establish and maintain a business support infrastructure necessary to assist the Service Manager, Operational and Clinical Leads in meeting the Trusts objectives and targets. This will include the development of systems and processes to monitor performance against the Trust's Key Performance Indicators.
To analyse reports and extract data from all report formats for all Key Performance Indicators (Quantity & Quality) and feed this back to Service Manager, Operational and Clinical Lead in a format that can be used within Services/Teams for planning and supervision purposes.
Required to have the authority/ability to approach individual clinicians and highlight performance issues and request action. To escalate poor performance/compliance as necessary via the Operational and Clinical Leads with a requirement to further escalate if deemed necessary via Service Manager.
To work with Corporate Services to identify areas of under-recording of clinical activity and work within the Services/Teams to improve recording and data quality.

1. Request information / activity reports that are required on behalf of the Performance Manager, Operational and Clinical Lead including care co-ordination, care cluster, data timeliness, contract monitoring reports, waiting times, cancelled clinics etc.
2. Provide a central point of contact to respond to/resolve any queries on behalf of Performance Manager, Operational and Clinical Leads where appropriate in relation to all Key Performance Indicators.
3. Attend and participate in the weekly Perinatal MDTs, updating the clinical system as necessary and sending letters, emails and other information as required.
4. Contribute to a robust and strong cohesive framework from the established BSO network, providing support to colleagues to ensure consistency and equity of provision across Services/Teams as required.
5. Responsible for liaising with Corporate / Support Services to obtain data / performance reports e.g.
activity reports, workforce and business data, financial information.
6. Provide regular monthly Service/Team updates as required to Service Manager, Operational and Clinical Leads.
7. To attend regular supervision with line manager.
8. To provide leadership support to the Admin Hub if required in the absence of the Admin Team Lead.
9. Undertake 1:1 supervision sessions with identified staff.
10. Provide and maintain the appraisal process for identified staff. To make sure that training needs are highlighted and followed-up.
11. Attend and participate in BSO Meetings inclusive of chairing and note taking on a rotational basis.
12. Support and participate in Business Meetings held on a monthly basis within the clinical teams.
13. Be accessible wherever possible at all times within core working hours.
14. Requirement to travel between Trust sites across a wide geographical area within Shropshire, Telford & Wrekin, Stafford and South Staffordshire, as deemed necessary to ensure consistency and equity of provision of services.
Person Specification
Qualifications Essential
NVQ Level 3 Business Administration (or equivalent level of experience) OCR/ RSA III or equivalent experience
Desirable
BTEC Diploma in Business Administration (Level 1)
Experience Essential
Significant experience in administration duties. Previous experience of setting up office/ administrative systems. Experience of analytical processes. Ability to plan, schedule and organise day to day work. Handling sensitive data.
Desirable
Experience in the NHS. Knowledge/ Experience of Patient Clinical System.
Skills Essential
Good working knowledge/experience of Microsoft Office, including Outlook, Word, Excel and PowerPoint. Good written and verbal communication skills. Ability to receive instruction and respond as necessary.
Desirable
Understanding of Mental Health Services, particularly Perinatal and Maternal Mental Health.
