GENERAL DESCRIPTION The Executive Assistant is responsible for all facets of high-level administrative support to senior executives. The position focuses on professional and proactive activities directed to facilitate and support administrative duties assigned by the senior executives, such as but not limited to, preparing reports, developing presentations, managing information requests and conducting information gathering, preparing all relevant correspondence/communication, greeting visitors, arranging conference calls and scheduling meetings and travel arrangements, as well as other clerical duties. ESSENTIAL JOB FUNCTIONS • Provide professional and proactive administrative support • Prepare various presentations and reports, spreadsheets, tables, listings, etc. • Information search, collect, compile, analyse and present data • Supporting special allocated projects in various functions • Ability to manage highly sensitive and confidential information • Establish and maintain regular contact and an excellent rapport with executive team • Responsible for taking meeting minutes, as needed • Monitor and comply with agreed budget targets for relevant projects • Plan and schedule meetings, appointments, manage travels and visitor arrangements • Complete expense reports, review invoices and purchase orders • Develop and maintain efficient administrative systems, maintaining records and management of relevant databases • Perform general office duties, ordering supplies, coordinate post and courier packages • Answer and direct calls or forward messages to appropriate parties • Support with the signature process of legal documents MINIMUM REQUIREMENTS • Preferably university/college degree or equivalent • Five (5) years of relevant experience from administrative duties • Fluent and effective English verbal and written communication skills • Excellent communication and interpersonal skills and ability to work independently and efficiently • Excellent organizational, planning and multitasking skills, as well as a predisposition to results and service focus • Ability to interact with senior management • Experience from managing budgets • Extensive computer skills (MS office, Excel, PowerPoint), and other software This job description does not list all duties of the job.
