Job summary

The Breast Surgery Department at the Norfolk and Norwich University Hospital are looking for a friendly, professional and dedicated individual to join the Administration team as a receptionist.

As part of this busy and varied role, the successful candidate will support the Breast Department by providing a high-quality reception and support service within the outpatient department. A visible and approachable point of contact for patients, families, carers and visitors, helping them feel supported from when they arrive.

You will support the delivery of a high quality, safe and compassionate healthcare service,all staff are expected to act as a role model to others in all aspects of their work and consistently demonstrate NNUH's 'PRIDE' values of People focused, Respect, Integrity, Dedication and Excellence and demonstrate behaviours that support and encourage an inclusive culture.

The successful candidate will be expected to have excellent communication, organisational skills with the ability to prioritise an everchanging workload, and ability to work independently and as part of a larger team.

Main duties of the job

As a Receptionist in Outpatients, you will be the first point of contact for patients, relatives and visitors, providing a welcoming, professional and efficient reception service. You'll manage patient arrivals, confirm demographics, oversee waiting areas and support clinic flow to ensure a safe, smooth experience.

Your role includes booking, cancelling and amending appointments, preparing clinic lists and case notes, and ensuring all information is recorded accurately and in real time on PAS, including RTT updates and post session outcomes. You will liaise with secretaries, clinical teams and other departments to make sure referrals, investigations, X rays and essential documentation are available for every clinic.

You will handle telephone and face to face enquiries courteously, prioritise requests, maintain filing systems, track notes, and arrange patient transport when required. Working as part of a busy multi disciplinary team, you'll support colleagues, follow Trust policies and uphold NNUH's PRIDE values in all aspects of your work.

Job description Job responsibilities

To provide a support service to the technical, secretarial, medical and nursing staff of the Department. To carry out receptionist duties, including prioritising and arranging appointments and maintaining the various appointment systems, identifying test requests and investigations, and co-ordinating the various clinics within the department. To deal with patients and external and internal staff enquiries in person or via the telephone, in a courteous and confidential manner and provide assistance as required. To ensure patients safety and well-being in the waiting area prior to them being called for their appointment and alerting appropriate staff to any cause for concern. To keep a log of telephone requests for investigations in line with department policy, prioritising these and ensuring messages are conveyed to the appropriate technical staff.
