Job summary
An exciting opportunity has arisen within the Medicine Division for a highly motivated and enthusiastic individual to join the Renal Admin team at Worcestershire Royal Hospital, as a Support Medical Secretary working 30 hours per week.
We are looking for a conscientious and adaptable person to work within the service. As part of the team, you will be helping to provide an efficient and comprehensive secretarial service to the Acute Kidney Injury (AKI) nursing team, as well as Consultants, Specialty Registrars and nursing teams within Renal Medicine. Experience of providing administrative support is essential.
Previous experience in a healthcare setting would be advantageous, however, full training will be given on our in-house IT systems and processes.
Applicants should be able to demonstrate excellent organisational skills, the ability to work on their own initiative as well as part pf a team along with an ability to prioritise and problem solve. The role would ideally suit candidates who wish to embark on a career in healthcare administration and are keen to learn.
Main duties of the job
The role will involve supporting the AKI nursing team by organising clinic appointments and typing of outpatient clinic letters as well as providing support to the existing Renal admin team on a day-to-day basis with their typing and other correspondence, dealing with enquiries from clinicians, GPs, other hospitals, patients and their relatives, updating medical records as well as data collation and input to support the work of the Midlands Renal Network and the attainment of divisional targets. In addition, there is a strong focus on supporting the Directorate Management Team with tracking and validation of patient pathways to achieve the national 18 week Referral to Treatment (RTT) target.

Job description Job responsibilities
To assist with the sorting of the day to day incoming mail, taking action or referring back to the Senior Medical Secretary, or nurse, where necessary.
To undertake medical audio/ copy typing duties, including outpatient letters to GPs, discharge summaries and other official correspondence.
To collate and input data accurately and efficiently to support the work of the Midlands Renal Network.
To accept enquiries from clinicians, GPs Health Service and Social Services personnel, other hospitals, voluntary agencies, patients and their relatives. Patient contact by telephone is an integral part of the basic role. To deal with these enquiries or refer back to the Senior Medical Secretary where necessary.
To ensure patients are booked into clinics in a timely and efficient manner as directed by the nursing and medical teams, issuing correspondence and contacting patients when required.
To participate in the use of the PAS system to establish patient information and produce patient documentation as required.
To assist in providing cover for other secretaries in the Medical Directorate to ensure continuity of service to Consultant, medical staff, service users and patients.
To undertake any photocopying and collation as required.
To undertake any other duties as may be required/appropriate by the Senior Secretaries/ Directorate Support Manager.

Personal Qualities Essential
Excellent verbal and written communication skills. Flexible and adaptable. Able to work under pressure. Ability to work under own initiative and part of a team.
Qualifications Essential
GCSE English & Maths or equivalent Recognised word processing/typing qualification
Desirable
Shorthand qualification. AMSPAR qualification.
Experience Essential
Proven secretarial experience. Experience of working in a busy office.
Desirable
NHS experience. Use of OASIS PAS system. Medical secretarial experience.
Knowledge & Skills Essential
Audio typing. In-depth working knowledge of Microsoft Office.
Desirable
Knowledge of NHS systems.
