About this role

Job summary

An exciting opportunity has become available for a proactive and dedicated Mental Health Administrator to join Winchester City Primary Care Network. This part-time role will support six GP practices within Winchester Rural North and East PCN, based at The Clockhouse, Bishop's Sutton, Alresford.

We are seeking a motivated and enthusiastic individual with strong verbal and written communication skills, excellent time management, and a high level of IT proficiency. The ideal candidate will be confident working across various computer systems and demonstrate a full range of administrative capabilities.

This is a part-time position for 18.75 hours per week, worked across three days. The successful candidate must be available to work a full day on site on a Tuesday and Thursday. The remaining hours can be worked flexibly, depending on the preference of the successful candidate.

Main duties of the job

*To provide administrative support to the Mental Health Primary Care team across the surgeries associated within your Primary Care Network PCN.

*To maintain and develop good working relationships with all members of staff within the Mental Health environment, including but not limited to: PCN staff, HIOW teams, multidisciplinary teams, patients, visitors and any other external agencies.

*To liaise with users of the service, carers and other voluntary and non-statutory agencies.

*Ensure a friendly and professional ethos within the team/department for patients and staff.

*To attend regular team meetings and being aware of and working to the Hampshire and Isle of Wight NHS Foundation Trust policies and procedures.

*To time manage and prioritise own work, using initiative consistently. To coordinate an appropriate diary management system and effective efficient use of office space for the clinical team.

*To provide administration support to the PCN team lead, to ensure team compliance with all required reports, appropriate audits and ad hoc data collection requests in a timely manner.

*To manage telephone enquiries on behalf of the PCN Team and respond accordingly.

*To send appointment reminders and questionnaires to patients.

*To prepare MDT meeting documentation and provide administrative support during and after the meeting.

*To manage the team's EMIS task box and support the referral process.

Person Specification

Qualifications Essential

GCSE 'O' level education including either English or Maths -- Grade C or above ECDL, NVQ Level 3 in business administration or similar OR In depth experience in an administrative role OR evidence of continuous professional development particularly organisational systems, business administration Computer literate, good working knowledge of standard MS Office packages including Word, Outlook and Excel.

Experience Essential

Experience of working in a dynamic environment that is subject to rapid change due to operational pressures. Experience managing competing priorities in a busy environment. Experience of multi-disciplinary team working including multiple stakeholders.

Additional Criteria Essential

Ability to communicate effectively and professionally, both written and verbal. Excellent interpersonal skills Ability to work in a logical and structured way Self-motivated, proactive and flexible to changing needs. Ability to organise own work and meet deadlines, with competing demands The ability to deal with phone calls from service users/carers who may be distressed, angry or upset, in a calm, supportive and efficient manner Ability to meet the travel requirements of the post
