Job summary
The position of Reception Supervisoris an interesting and demanding role that requires using your experience to help supervise our large busy reception team.
We are looking for someone to work 32 hours per week, ideally over 4 days per week. Someone with initiative, who is flexible, adaptable and able to cope with a busy workload. You will be a quick thinker who can deal with multiple queries on a daily basis and have the ability to problem solve calmly and efficiently.
You will be an excellent communicator, friendly yet professional with superior listening skills. It is important that you enjoy the responsibility of overseeing and helping to develop other staff and that you are an adept prioritiser of work.
You must have a caring attitude when dealing with either patients or staff. Previous patient facing experience either in a GP surgery or a hospital environment is essential, as is experience in leading a team.
Main duties of the job
Key Responsibilities
1. Provide daytoday supervision and operational support to the reception team, acting as a senior point of contact for staff, clinicians and locums.
2. Coordinate clinic activity, appointment management, room allocation and ontheday cover to ensure smooth service delivery
3. Support clinicians by overseeing the flow of paperwork, tasks, test results and prescriptions, escalating issues as required.
4. Process, code and triage clinical documentation and emails, including pathology and correspondence, in line with experience; full training will be provided as required.
5. Respond appropriately to urgent situations, including emergency calls, patient safety concerns and ambulance coordination.
6.Ensure compliance with health and safety procedures and maintain high front of house service standards, including effective patient communication and access.

Reception Supervisor Role

2. Answer emergency phone actioning calls from other clinical staff with results or requests.
3. On the day reception rota changes liaising with scanning team if cover needed.
4. Oversee cancellation and reappointment of patients in the event of clinician sickness.
5. Point of contact if there has been a computer update
6. Point of contact for Locums/visiting staff
7. Emailing pathology IT or radiology IT with details of any unmatchable results or reports.
8. Assisting/sharing appropriate clinicians administration work
9. Appointment monitoring and amendment
10. Point of contact for GPs who need assistance.
11. Ensuring that Food bank voucher requests are actioned.
12. Oversee Room allocation for GPs and other staff.
13. Team leading responsibilities for reception team
14. Allocation of chaperone as needed.
15. Supporting reception with workload, challenging patients, questions, emergencies.
16. Fire warden/safety responsibilities
17. Patient sample management
18. Initial complaints handling
19. Balance Petty Cash
20. Oversee Blood pressure machines are being allocated to waiting patients
21. Monitor access to front of building, car park, ensure emergency vehicles have access. Point of contact for GP when ambulances are needing to be called.
22. Directing stock delivery to the right place, being mindful of fridge items

Person Specification
Qualifications Essential
GCSE's x 5 at Grade 4 or higher, must include English and Maths. Must have experience of working in a supervisory role. Must have experience of working in either primary care or a hospital.
