As Job Planning Coordinator, you will be central to the Trust's medical job planning process, working closely with Consultants, SAS Doctors, Divisional and Clinical Directors, and the Executive Medical Director's team. You'll coordinate job planning activity across all specialties, ensuring processes are robust, deadlines are met and governance standards are maintained.
This is a varied and influential role, blending coordination, data management, relationship-building and problem-solving. You will meet with medical colleagues, provide advice and training on job planning systems, produce high-quality reports and performance updates, and help drive continuous improvement in how job planning operates across the Trust.
You'll be a key point of contact within the Executive Medical Director's office, trusted to handle sensitive information with professionalism and discretion, while keeping momentum on job plan sign-off and supporting escalation or mediation where needed.

Main duties of the job
Support the Associate Medical Director for Workforce to raise the profile of, and promote, job planning across the Trust
Establish and maintain systems and processes to support job planning. and reporting
Convene and coordinate job planning meetings, produce minutes, track resolution of issues and follow-up on decisions made.
Assist Divisional Directors, Clinical Directors, Managers, Consultants and SAS doctors regarding job planning, keeping momentum on job plan sign-off to achieve national targets.
Keep updated on job planning processes, national developments and training.
Maintain effective working relationships with Associate MD, Executive MD, Divisional Leadership Teams including Divisional Directors, Clinical Directors, senior medical staff, Medical HR, E-Roster and payroll teams, relevant committees, GMC and Royal Colleges.
Maintain good governance around job plan sign off processes.
Work with external system providers in relation to the electronic job planning system, engaging in future developments.
Support escalation and mediation process by gathering relevant information and following up on resulting actions to conclusion.
Prepare updates and reports for performance, programme management, executive presentations, Board of Directors and relevant Board sub-committees.
Adhere to all relevant information governance policies in relation to job planning information.
Provide on-going job planning system training for senior medical colleagues.

Qualifications & Training Essential
Level 4 qualification or equivalent knowledge and skills (such as number of years in a busy administrative office dealing with complex information and analysing data) Proven competence in using Microsoft packages, Word / Excel / Outlook
