Job summary
We are seeking a committed and highly organised Safeguarding Facilitator to join the Filey & Scarborough Healthier Communities Network (FSHCN).
This is a pivotal role supporting safeguarding activity across member practices, ensuring that safeguarding concerns for children, young people, and adults at risk are managed promptly, accurately and in line with statutory guidance and best practice.
You will play a key role in coordinating safeguarding processes, supporting multi-agency communication, and contributing to a strong safeguarding culture across our services.
Main duties of the job
You will:
Receive, process and quality-check safeguarding concerns, ensuring accurate and timely escalation Maintain safeguarding records, databases and reporting systems to support monitoring and audit Act as a first point of contact for safeguarding enquiries from staff and partner agencies Liaise with external organisations including social care, police and health partners Support the preparation of safeguarding reports, audits and assurance documentation Provide advice and guidance to staff on safeguarding processes and referrals Contribute to a trauma-informed and safe organisational cultureThe role involves managing sensitive information and working in a fast-paced environment where prioritisation and professionalism are key.

Purpose of the Role
The post holder will provide high-quality, timely and confidential administrative and coordination support to the FSHCN member practices Safeguarding leads. Working as part of the wider Safeguarding and Clinical Quality Teams, the role is pivotal in ensuring safeguarding concerns relating to children, young people and adults at risk are accurately processed, escalated, recorded and monitored in line with statutory requirements, organisational policies and best practice.
The role combines core safeguarding referral administration, multi-agency liaison, data management and staff support functions. The post holder will act as a first point of contact for safeguarding enquiries, support the collation of safeguarding activity and outcomes, and contribute to effective information sharing and governance across FSHCN services.
Key Duties and Responsibilities Safeguarding Referral Administration
Receive, process and quality-check safeguarding concern forms for children and adults, ensuring accuracy, completeness and appropriate escalation.
Cross-reference safeguarding concerns with relevant clinical systems e.g. S1 or equivalent to ensure correct patient identification and full capture of the patient journey.
Transpose safeguarding information accurately onto Local Authority and partner agency referral systems within required timescales.
Ensure referrals reflect best practice, contain sufficient detail to convey risk, and support protection from abuse or neglect.
Escalate safeguarding concerns, risks or system issues promptly to the Head of Safeguarding or Safeguarding Lead.
Multiagency and Information Management
Act as a first point of contact for safeguarding-related enquiries from internal staff and external partner agencies, responding professionally and sensitively.
Liaise with social care, health, police and voluntary agencies to support effective multi-agency working.
Respond to requests for information in line with data protection, information governance and safeguarding protocols.
Safely manage the safeguarding mailbox and associated correspondence, prioritising work according to risk and urgency.
Data, Reporting and Governance Support
Maintain accurate safeguarding records, logs and databases to support monitoring, audit and reporting.
Collate safeguarding activity data, outcomes, themes and trends to support service evaluation and quality improvement.
Support audits, reviews, complaints responses and incident management processes relating to safeguarding.
Assist with preparation of annual self-assessment assurance documents, audits, patient reports, chronologies and summaries as required by the practices and Safeguarding Teams.
Support to Staff and the Organisation
Provide advice, guidance and constructive feedback to staff regarding safeguarding processes and referral completion.
Chair meetings where across sites.
Promote a SAFE and trauma informed approach across FSHCN services.
Act as a visible, approachable and professional role model, supporting a positive safeguarding culture.
Provide cross cover and resilience across the Safeguarding and Clinical Quality Teams as required.

Maintain own continuing professional development, including safeguarding knowledge and mandatory training.

The post holder is accountable for their own work and is expected to use initiative, professionalism and judgement when managing safeguarding information and priorities. The role requires close collaboration with safeguarding professionals while recognising when escalation is required.

Person Specification
Qualifications Essential
GCSEs (or equivalent), including English Administrative or records management experience (ideally in healthcare or a regulated environment) Experience handling confidential and sensitive information Strong communication and organisational skills Good IT skills (Microsoft Office) Ability to prioritise workload and work independently
Desirable
Experience of safeguarding processes or working with vulnerable groups Knowledge of systems such as SystmOne Experience in data reporting, audit or governance work Safeguarding training (Level 2 or 3) NVQ Level 3 (or equivalent) in Administration
