Job summary
We are seeking an experienced and highly motivated Receptionist / Prescriptions Clerk to join our friendly and dedicated team.
This is a varied and important role, combining front-line patient-facing reception duties with prescription processing, administrative support and routine processing of clinical correspondence. This is a specialist combined reception and prescriptions role within the practice and the successful candidate will work closely with another experienced member of the team to support the safe and accurate management of prescription requests.
Prescription requests are received through a variety of routes and systems throughout the day, therefore the role requires excellent organisational skills, attention to detail and the ability to manage a busy workload effectively.
The successful candidate must have previous experience working within a GP practice and be confident using GP IT systems, including EMIS, Accurx and Docman. Previous prescriptions clerk experience is highly desirable.
We are looking for someone who can hit the ground running, work accurately under pressure, communicate professionally with patients, pharmacies and colleagues, and contribute positively to the smooth running of the practice.
The role hours are:
Monday: 10:00 to 18:30
Tuesday: 10:00 to 18:30
Wednesday: 08:00 to 12:30
Friday: 10:00 to 18:30

Main duties of the job
The role will involve providing a professional, efficient and welcoming reception service to patients, both over the phone and in person. This will include dealing with enquiries courteously and appropriately, booking appointments, signposting patients and contacting patients via online services, including Accurx.
Alongside reception duties, the post holder will work closely with another experienced member of the team to support the safe and accurate processing of prescription requests using EMIS. Prescription requests are received through a variety of routes throughout the day and require a consistent, organised and detail-focused approach.
The successful candidate will act as a first point of contact for patients, colleagues and pharmacies in relation to prescription queries, requiring excellent communication skills and the ability to manage a busy workload effectively.
The role will also include general administrative and IT-based tasks, including receiving clinical letters and processing them to patient records using Docman, maintaining accurate patient records, supporting clinicians and colleagues, and helping ensure that practice systems run smoothly.
The successful candidate will need to be organised, accurate, able to prioritise competing demands and confident working in a busy GP practice environment.

Our wider clinical team includes nine salaried GPs, trainee doctors, two practice nurses, a pharmacist, a mental health practitioner, two physiotherapists and a social prescriber. They are supported by a dedicated reception and administration team.

Job description Job responsibilities
Provide a professional, welcoming and efficient reception service to patients and visitors, both in person and over the telephone.
Book, amend and manage appointments using EMIS, ensuring the appointment system runs efficiently and patients are directed appropriately.
Respond to patient enquiries courteously and efficiently, providing information and support in line with practice procedures.
Process prescription requests accurately using EMIS, ensuring requests are managed safely and in a timely manner.
Act as a first point of contact for patients, pharmacies and colleagues regarding prescription queries.
Process prescription requests received through a variety of routes and systems throughout the day.
Liaise with clinicians, pharmacies and other healthcare professionals regarding prescription-related matters where required.
Receive clinical correspondence and process documents to the correct patient records using Docman.
Use Accurx and other practice systems to communicate with patients and manage online enquiries.
Operate the telephone system and direct calls appropriately.
Maintain accurate patient records and ensure patient confidentiality is upheld at all times in accordance with practice policy and the Caldicott Principles.
Use practice IT systems and email in accordance with practice policies and procedures.
Carry out start and end of day procedures, ensuring appropriate handover of outstanding work to colleagues.
Work collaboratively with clinicians, administrative staff and the wider practice team to support the smooth running of the surgery.
Participate in training, practice meetings, team meetings and continued professional development activities.
Support the ongoing development and improvement of practice processes and patient services.
Assist with additional administrative duties as requested by the Practice Manager or Partners.
Assist in the closing and securing of the premises at the end of the clinic shift.
Participate in the delivery and collection of items relating to practice business where required.
Person Specification
Qualifications Essential
GCSE Maths and English (C grade or above) or equivalent Evidence of continued professional development
Desirable
NVQ Level 2 in Health and Social Care/Business Administration/Customer Service, or equivalent qualification
