About this role
Become a part of our caring community
Why this role exists: To run a safe, reliable, patient-first clinic that delivers high-quality care and an outstanding experience by orchestrating people, processes, and technology across the front office, clinical teams, and providers. The Center Administrator works onsite and reports to the Associate Operations Director. You will be accountable for clinic performance, integrating people leadership, operational reliability, quality, patient experience, and financial stewardship. You will directly oversee daily clinic operations and team execution, applying advanced judgment across people, flow, safety, and service priorities.
Operational Orchestrator: You will create a smooth clinic rhythm, ensuring on-time starts and fast resolution of flow bottlenecks. You will set clinic priorities, align resources across functions, and resolve complex or recurring barriers that affect overall performance.
Safety Guardian: You will maintain a "High Reliability Organization" culture, ensuring the clinic is audit-ready every day. You will oversee the clinic culture and systems required for sustained safety, compliance, and audit readiness.
People Developer: You will build stable, engaged teams through structured coaching, clear expectations, and visible skill growth paths. You will shape culture, establish accountability, develop leaders and team capability, and ensure sustained performance improvement.
Data-Driven Leader: You will use real-time data from reports to make informed decisions that improve clinical quality and financial stewardship. You will integrate operational, quality, patient experience, and financial data to make center-level decisions and monitor outcomes.
What You Will Do
Daily Flow Management: Lead morning huddles to align the team and manage real-time escalations to maintain clinic rhythm. You establish the operating rhythm, align cross-functional leaders, and address systemic or recurring flow constraints.
Quality & Safety Oversight: Conduct daily 5S walkthroughs (Sort, Set in Order, Shine, Standardize, and Sustain) and manage vaccine cold-chain and sterilization logs. You will oversee quality and safety performance, sustain corrective actions, and connect compliance activities to broader clinic outcomes.
People Leadership: Conduct weekly one-to-ones, manage staff schedules, and ensure competency sign-offs through reverse shadowing. You will be accountable for staffing, performance, development, succession, and the capability of the center team.
Administrative Excellence: Stabilize "inbox aging," manage purchasing and waste reduction, and ensure accurate point-of-service (POS) collections. You will oversee center financial performance, resource decisions, purchasing, waste reduction, inbox aging, and POS outcomes.
Patient Experience: Oversee the service recovery system and resolve patient concerns on the same day. You will identify recurring themes and use insights to strengthen the patient experience.
