About the role
We are looking for an organised and detail-focused Inventory Coordinator to support our Timaru Coldstore Operations team. In this role, you will coordinate the efficient and compliant export of frozen food products, manage inventory and shipment activity, and work closely with internal teams and external logistics partners to help ensure orders are accurate, compliant and delivered on time. You will also support general cold store operations as required.
What you’ll be doing.
- Prepare and manage export documentation, including commercial invoices, packing lists, Certificates of Origin, health certificates and bills of lading.
- Plan and coordinate frozen product shipments, loading schedules and freight bookings.
- Work with warehouse teams to confirm stock availability, correct picking and stock allocation for export customers.
- Monitor inventory and support FIFO/FEFO practices, cycle counts and stocktakes.
- Liaise with shipping lines, freight forwarders and other partners, tracking shipments and managing delays or disruptions.
- Provide clear updates on shipment status, delivery timelines and export-related issues.
- Maintain accurate shipment and export records in Excel and SAP, and report on volumes, costs and service performance.
- Identify opportunities to improve export processes, reduce costs and strengthen logistics performance.
- Support general cold store operations as required.
What you’ll need to be successful.
- Previous experience in export administration, logistics, inventory or supply chain coordination.
- Strong attention to detail, with the ability to manage documentation, deadlines and competing priorities accurately.
- Clear and professional communication skills, with confidence working across customers, freight partners and internal teams.
- Strong problem-solving skills and the ability to respond proactively to delays, documentation issues and logistics disruptions.
- Confidence using ERP systems and Microsoft Excel for order management, inventory control and reporting.
- An understanding of export logistics, freight forwarding and Incoterms is preferred.
- Knowledge of New Zealand export regulations, food safety, traceability or cold chain logistics would be advantageous.
- Experience in food manufacturing, FMCG or temperature-controlled products is highly desirable.
About the team
This position is part of the Timaru Coldstore Operations team and reports to the Timaru Coldstore Manager. The role works closely with warehouse teams and external logistics partners, and contributes to the broader ANZ Supply Chain Operations function.
