General Dispatch Responsibilities
- Answer incoming phone calls in a timely and professional manner.
- Manage wave allotments and percentages for OPC/In-House marketing.
- Lead distribution: Appropriately distribute leads based on Pre-Arrival performance.
- Research and determine Owner Tour eligibility for IPC Tours.
- Book tours received from Local Marketing Agents.
- Process POS Package payments
- Assist Sales/Contracts department in creating new guests leads.
- Assist in preparing and updating all necessary tour manifests for marketing department, to better manage and track wave allotments.
- Ensure all On-Site and Pre-Arrival leads are allocated properly according to business rules.
- Ensure all confirmation/ wake-up calls are completed in a timely manner.
- Communicate with call center on tour overages, tour wave needs, as well as maintaining efficient tour times and percentages by wave to drive maximum results.
- Assist in communicating new changes to percentages, waves or new tour times to the Marketing Team.
- Process and submit Hilton Honors points for marketing department to corporate for posting, processing and payments.
- Track and process all gifting overages for marketing department.
- Review historic volume for accurate scheduling of Reservations team.
- Weekly Lead Clean-up:
- CT to QT lead research and adjustment
- CT & NS tour clean-up
- Package Audits
- SharePoint Administration:
- Works with the business to update content as needed. Develops and maintains file management system for internal documents and procedures.
- Performs backup and recovery activities.
- Diagnoses and troubleshoots problems with existing applications and communicates solutions to appropriate areas.
- Collaborates with Management as needed to resolve issues.
