Job Summary
- The Senior Hospitality Specialist supports all aspects of office operations while maintaining a welcoming and professional atmosphere for all clients, executives, and staff members.
- This role will include a variety of responsibilities throughout the office workspaces, conference rooms, kitchen/break areas, and reception.
- Job Responsibilities Provide personalized and exceptional internal and external customer support with an emphasis on elevated hospitality per local workplace standards.
- Manage the reception desk and greet employees and visitors with a smile while maintaining eye contact through the entire interaction.
- Speak knowledgeably about the office, building, surrounding areas, transportation, local restaurants, and other points of interest.
- Ensure the cleanliness of all office spaces, including reception area, open work areas, conference rooms, lobby, and kitchen.
- Responsible for the restocking, inventory, and ordering of office and kitchen supplies.
- Anticipate project needs, prioritize work, meet deadlines without supervision, and ability to work evenings.
- Oversee conference reservations, cancellations, and waitlist requests through the client's reservation software.
- Serve as point of contact for onsite meeting and events.
- Support all logistics from ideation to post event feedback call.
- Ordering and set-up/tear down of catering from external vendors.
- Work closely with other departments to ensure high quality experience for all guests.
- Maintain a strong awareness of business activity and communicate all updates with your team members.
- May serve as point of contact for external vendors, service providers, and building management.
- Ensure all Life/Safety compliance is met and tracked for employees/visitors.
- Maintain building visitor list by managing the access badge process for employees and visitors.
- Follow all security procedures and ensure visitors have visitor badges and name tags.
- Update and maintain physical and digital signage throughout office.
- Handling of mail and packages, communicating to recipients when items arrive.
- Provide first-line support for basic office technology.
- Assist in making day of space reservations using an online tool.
- General operational and administrative support and other duties as assigned.
- Key Competencies A genuine sense of hospitality, with a commitment to delivering a memorable experience in all aspects of the role.
- The ability to work under pressure and prioritize tasks while interacting with clients and visitors in an open environment . Excellent listening and communication skills.
- Advanced computer skills and knowledge of office technology / equipment, including Microsoft Office products.
- Ability to work independently and take initiative while effectively managing priorities and responsibilities.
- Discreet, ethical, and committed to maintaining a high degree of confidentiality.
