Job summary
We are looking to recruit an enthusiastic and motivated individual to provide secretarial support within the Home Treatment South Team, based in Worcester.
The Home Treatment Team provides an early referral service for community teams, supporting patients either in crisis or to prevent further deterioration in their mental health. The team works closely with Adult Inpatient Wards to identify patients who can safely continue their treatment at home.
You will provide a comprehensive administrative and information service and work collaboratively with other members of the administration team to ensure an efficient, confidential, and high-quality service is delivered.
A good telephone manner is essential. You will be required to demonstrate a professional, calm, and sensitive approach at all times, with a strong commitment to maintaining confidentiality.
The post offers a generous NHS pension scheme and an excellent annual leave package (27 days annual leave plus bank holidays).
This is a permanent post, 25 hours per week, worked Monday to Thursday, 09:0015:15.

Main duties of the job
The successful candidate will have a good standard of education, excellent communication skills, and the ability to work independently using their own initiative. You will be well organised, efficient, and able to manage and prioritise your workload effectively.
The role involves providing day-to-day administrative and secretarial support to the clinical team to ensure the smooth running of the service. Duties include managing telephone enquiries, inbox and diary management, audio typing, minute taking, and general administrative tasks. You will have regular contact with internal and external professionals and colleagues.
You will be flexible, able to meet service demands, and demonstrate a strong customer service focus. Essential requirements include excellent working knowledge of Microsoft Office, strong audio typing and minute-taking skills, a Level 3 qualification in Business Administration (or equivalent), GCSE English (AC) or equivalent, and at least two years administrative or secretarial experience.

Person Specification
Qualifications Essential
Educated to academic Level 3 (e.g.: A-Level, NVQ3, OCR/RSA3, City and Guilds 3) in a Business/ Administration related subject, otherwise Educated to academic Level 2 (e.g. GCSE Grade A-C) with considerable recent NHS administrative experience and will be expected to undertake the relevant level 3 qualification on appointment to post. I understand that I will be asked to provide original certificates to verify my qualifications at point of offer.
Experience Essential
Recent, relevant Administrative/Secretarial experience (usually demonstrated by a minimum of 2 years experience)
Desirable
Previous administrative or secretarial experience within the NHS or a healthcare setting. Experience providing administrative support to clinical or multidisciplinary teams. Experience of working in a mental health, community, or acute service environment. Experience of minute taking for meetings and accurately producing actions and records. Experience of using electronic patient record systems or other NHS clinical systems. Experience managing high volume telephone calls and enquiries, including dealing sensitively with distressed or anxious callers. Experience of working in a busy office environment, managing competing priorities and deadlines.
Skills and Abilities Essential
Competent general office skills, including filing, scanning, photocopying, and accurate document handling. Ability to remain polite, calm and firm when dealing with difficult, impatient or upset individuals, demonstrating empathy and professionalism. Strong communication skills, with the ability to communicate clearly and effectively in both written and verbal formats. Ability to prioritise a busy workload, manage competing demands, and work accurately to strict deadlines.
