Job summary
Larkside Practice are looking to recruit a Medical Secretary / Administrator to join our team at our practice in Luton. This will be for 20 hours a week over five days, flexible ie. 9-1, 10-2, etc. You will be working alongside a team of clinicians providing secretarial and administrative support. You will liaise with patients and external providers and also ensure that you are up to date with current services available. Larkside is a busy training practice. We have a full Reception/Admin team. We are part of eQuality PCN.
Main duties of the job
Providing comprehensive secretarial support to clinicians.
Managing patient referrals and correspondence.
Handling confidential patient information in line with data protection regulations.
Liaising with patients, healthcare professionals, and external organisations.
IGPR reporting (training will be given)
Maintaining accurate and up to date medical records.
Supporting meetings as minute taker as required.
About us
Our team consists of 3 GP partners, 2 salaried GPs, 1 ANP, 2 practice nurses, an HCA, 1 phlebotomist and 2 pharmacists. Our management team includes the practice/business manager, deputy manager and quality manager and a full team of staff covering administration and reception. Larkside Practice works with many outside agencies and community services who provide in-house clinics and treatment for our patients. These include a social prescriber, wellbeing services (smoking, CBT etc), mental health worker, Parkinsons nurse, and non-obstetric ultrasound services.
We provide in-house minor surgery and sexual health (coil & implant clinics) to our practice patients. We also provide sexual health services to patients of other practices in Luton.
We are committed to providing preventive care measures to enhance and improve our patients health, engaging with our patients and helping them take ownership of their future health. Our whole team including our extended service colleagues aims to provide the highest standard of patient care.
The Larkside Practice team are passionate and committed to training. We have 2 GP trainers. We have a strong clinical team collaborating to provide the highest standard of training and mentoring. Our aim is to provide all our trainees with a friendly and comfortable learning environment supported by the whole team. We agree our commitment to our trainees should be no different than that to our patients.

Duties and Responsibilities
To provide an efficient document production service for GPs, Senior Management Team and other health professionals as required. This includes the typing of letters, reports, patient referrals, minutes etc in an accurate and quality manner. Typing of referral and other clinical letters in priority order To produce these documents using our patient database where applicable (System One) Monitor hospital referral letters via the e-Referral system. Keep GPs updated with regards to electronic booking requirements, technical or other problems, etc. Advise doctors of rejected referrals and ensure these are dealt with on a timely basis. Send 2WW (Two Week Wait) referrals by the appropriate system as presented and ensure the referral is recorded appropriately. Check that 2WW referrals have been attended and report any DNAs to the referring GP or their deputy Use the accepted methods of referral. To assist the Senior Management Team with all clerical and administrative duties if required. To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries To provide cover for members of the secretarial team during periods of sickness and annual leave.
