Job summary

GP Administrators are integral to supporting patients with digital enquiries and the general administrative tasks that underpin all our services. This role is an exciting opportunity to be involved in receiving, assisting and directing patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Main duties of the job

You will be responsible and accountable for a number of tasks including

Booking appointments for patients using the EMIS booking system and telephone systems.

Proactively managing your workload to ensure all recalls are kept up to date, flagging any issues or obstacles at the earliest opportunity.

Liasing with the Business Manager and Senior Administrators and other colleagues as necessary to ensure necessary resources (clinical appointments, leaflets, protocols, searches and call lists, etc.) are available. Report progress issues into regular recall meeting.

Familiarise with QOF targets, child and adult immunisation programmes, local commissioned services and schemes as advised by line manager including coding of invitations, declines and other opt-outs in line with contractual requirements.

ROLE PURPOSE

To receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

The Quality and Outcomes Framework (QOF) is a system for the performance management and payment of general practitioners (GPs) in the National Health Service (NHS) in England, Wales, Scotland and Northern Ireland. The Recall Administrator will proactively book appointments for patients with chronic disease, review appointments and immunisation appointments. The purpose of this is to improve patient care and health outcomes and to maximise income generated from enhanced services, the Quality Outcome Framework (QOF) targets, immunisation targets and to meet our contractual requirements.

GLENLYN MEDICAL GROUP

Glenlyn Medical Group (GMG) is a large general practice serving the communities of East Molesey and Thames Ditton. The Group has a large patient list of ever increasing diversity and complexity.

The business provides support and staff to manage and undertake a wide variety of community services and locality-wide support services.

RESPONSIBILITIES & ACCOUNTABILITIES

Following instructions, the Recall Administrator will be responsible and accountable for:

Recall Administrator:

Book appointments for patient using the EMIS booking system and telephone systems.

Proactively manage your workload to ensure all recalls are kept up to date, flagging any issues or obstacles at the earliest opportunity.

Liaising with the Business Manager and Senior Administrators and other colleagues as necessary to ensure necessary resources (clinical appointments, leaflets, protocols, searches and call lists, etc.) are available. Report progress issues into regular recall meeting.

Familiarise with QOF targets, child and adult immunisation programmes, local commissioned services and schemes as advised by line manager including coding of invitations, declines and other opt-outs in line with contractual requirements.

Recall patients, following the protocols for routine child immunisations and any child immunisations catch up programmes.

Arrange Influenza, pneumonia and singles, RSV vaccinations for adults and at risk patients.

Recall respiratory, diabetes and other chronic disease in line with QOF and LCS to include organising care home visits for learning disability and serious mental health illness.

Liaise with paramedic practitioner to organise annual home visits for housebound and care home patients.

Arrange Dementia annual review, NHS Health Checks and Annual health reviews for over 75s, SMI and LD patients annual reviews.

Monitor drug and medication reviews.

Undertake all other administrative duties in line with the QOF framework under the direction and supervision of the Business Manager/Senior Administrators,

liaising with admin team members and other key health care professionals

Undertake mandatory training (Data Security, Adult and Child Safeguarding, Equality Diversity and Human Rights, Conflict Resolution, Fire Safety, Health and Safety, Infection Control, Basic Life Support Training/Resuscitation, Prevent, Mental Capacity, Suicide Prevention and others as advised by Management) and ensuring that mandatory training is kept up to date.

Carry out any other such reasonable duties as may be determined by your line manager within the scope of the post.

Being committed to the continuous improvement and review of current practices and procedures, making suggestions for revision where need for change is indicated.
