Job summary
We are looking to recruit a Business Support Administrator for the TALKWORKS Paignton & Brixham Team. TALKWORKS is a large, high performing NHS Talking Therapies Service.
The successful candidate will be an enthusiastic team player who is friendly and empathic, with a good sense of humour. We strive to maintain a strong and healthy team culture. The team covers the Paignton and Brixham area, and the successful candidate will have a commitment to our local services here in Devon.
The post holder will need to be able to work Monday to Friday from our base at Pembroke House, Paignton, with the possibility of working from home at times, if requested.
You will need to have a good telephone manner as the role involves processing referrals over the phone, responding to clients who call into the service as well as making outgoing calls to clients.
The role also requires a high degree of organisational skill, an excellent working knowledge of administrative systems and the ability to accurately enter confidential and sensitive data into our electronic clinical records system.

Main duties of the job
The key tasks of the role are:
Processing incoming referrals to TALKWORKS Covering the reception at TALKWORKS Paignton & Brixham, Pembroke House Answering incoming calls from patients and professionals Booking, cancelling and amending appointments Liaising with the local and wider TALKWORKS teams Supporting the running of the building including liaising with the Estates department and the building landlord, if necessary. Contributing to team meetings and events Working collaboratively with clinicians General office admin tasks including taking team meeting minutes

Person Specification
Knowledge and skills Essential
Intermediate IT skills in Microsoft Office Packages, i.e. Word, Excel, PowerPoint and Outlook. Working knowledge of a range of administrative procedures including diary management and arranging appointments. Excellent interpersonal and communication skills both written and verbal. Ability to take and convey clear messages. Ability to work without direct supervision on a day to day basis. Plan and prioritise own workload, ability to meet deadlines and work under pressure. Advanced keyboard skills.
Experience Essential
Excellent organisational skills. Ability to prioritise workload and adapt to change when required. Previous experience of working within an administrative or secretarial team. Experience of dealing with confidential and complex information
Desirable
Experience of working as part of a team Previous experience of working in a Healthcare or Social Care administrative setting.
Qualifications Essential
Business Administration Level 3, T Level qualification in Management and Administration, or equivalent experience. GCSE English or equivalent. Evidence of continuing professional and personal development.
Desirable
ICDL (International Computer Driving License), or equivalent experience.
Other Desirable
First aid at work trained Current or previous experience as a fire warden Ability to travel to base and other locations as needed to meet the requirements of the role
