Job summary
Provide comprehensive administrative and secretarial support to the Primary Care Team.
To facilitate the delivery of the primary care services and to enable it to function effectively and to support the expansion of this critical support service.
This will involve undertaking administrative and clerical duties to assist with the co-ordination, day-to-day organisational processes to ensure effective teams and safe delivery of services
The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.
Main duties of the job
The post holder is expected :
Provide comprehensive administrative and secretarial support to the Primary Care Team which will include managing diaries, emails and compose routine letters, memos and emails on daily basis.
Provide quality administrative and secretarial support to a range of Primary Care Services and making full use of available technology.
Plan and prioritise own workload and re-adjust meeting arrangements, deal with conflicting diary appointments and use own judgement to make alternative plans and meeting arrangements for the Primary Care Team.
Act as first point of contact for salaried staff, independent contractors and patients in relation to queries regarding a range of Primary Care Services.
Liaising with members of the public and dealing with potentially sensitive information in relation to patient queries about Primary Care Services. Patients are often elderly, and there are barriers to communicating with them which requires tact.
Assist in the maintenance and update team training programmes and rotas, and where necessary ensuring distribution to line managers.

Qualifications and/or Knowledge Essential
NVQ Level 3 or possess equivalent level of knowledge and experience. 5 GCSE's or equivalent level of knowledge and skills. Fully conversant with all Microsoft Office software. Knowledge of office procedures. Demonstrate a sound knowledge and understanding of confidentiality. Clear knowledge of the importance of Health & Safety Regulations in the workplace.
Desirable
Knowledge and understanding of working with guidelines, policies and procedures. Knowledge and understanding of Primary Care.
Experience Essential
Previous NHS experience. Knowledge of office practices and able to establish new processes. Ability to work independently.
Desirable
Experience of working in Primary Care environments.

Able to travel to UHB community sites in a timely manner.
