What We Need
We are seeking an experienced, organised and proactive Timetabling Officer to lead the full lifecycle of the College's academic timetable, from planning and gathering teaching requirements through to publication, maintenance and continuous improvement. You will bring practical timetabling or complex scheduling experience and be confident balancing teaching requirements, staff availability, room capacity, and the needs of students. You will anticipate issues, resolve clashes, and keep the timetable on track.
Effective timetabling also relies on strong working relationships. You will work closely with Programme Directors and other colleagues to gather accurate information, manage competing requirements, and follow up diplomatically when needed.
You will take ownership of the function, understand how it currently operates, and introduce practical, sustainable improvements. Outside the busiest points in the timetabling cycle, you will also support the wider Data team with data administration tasks.
Is This You?
You might be a great fit if you:
Have practical experience of timetabling, complex scheduling, or space planning. Can coordinate the different stages of the timetabling lifecycle effectively. Can interpret teaching requirements, identify constraints, and develop workable solutions. Can balance competing demands while maintaining accurate and reliable information. Look beyond immediate issues to identify longer-term improvements. Build positive working relationships and communicate clearly and diplomatically. Work independently, use sound judgement, and know when to escalate. Are organised, analytical, accurate, and calm when priorities change.
What You’ll Be Doing
Leading the planning, creation, publication, and maintenance of the College’s central academic timetable. Coordinating and reviewing teaching requirements from Programme Directors and course teams. Translating teaching requirements into effective and deliverable timetables. Identifying and resolving timetable clashes and constraints. Balancing staff availability, room capacity, teaching needs, and the student experience. Managing timetable amendments, queries, and room bookings. Maintaining accurate information within the College’s timetabling systems. Supporting effective room allocation and space utilisation. Reviewing and improving timetabling processes and ways of working. Working with the wider Data team to assist with data administration tasks.
What You’ll Bring
You will have experience of timetabling, complex scheduling, space planning or a closely related function, ideally within Higher or Further Education, together with an understanding of the practical demands of managing a complex academic timetable.
Experience using timetabling software such as Unit-e, Celcat, or a comparable system would be beneficial, but training can be provided on the College’s specific systems.
You will also have strong organisational, communication, and problem-solving skills, excellent attention to detail, and the confidence to manage a complex workload against firm deadlines.
Why Join Us?
This is an opportunity to take ownership of a College-wide function that directly affects students and staff, with scope to make a visible and lasting impact. The role also comes with the following benefits:
