About this role
IT Procurement Interns support the IT Procurement & Asset Management team in keeping purchasing operations accurate and running smoothly. They work with software license data, procurement documents, invoices and vendor information, and prepare first drafts of reports and purchase recommendations for review. This is an onsite internship at our Ho Chi Minh City office, and we are looking for candidates who can start as soon as possible.
Key responsibilities
Work with the End-User Support team, colleagues who request purchases, and vendorsPerform the following under the coaching of your supervisor:Software licenses: Keep the license list up to date (renewal dates, owners, costs, number of users), remind owners to fill in missing information, and collect invoices for the monthly company card checkDocuments: Organize and store contracts, purchase orders, quotations and invoices, scan signed originals, and track which documents are still waiting for signaturesPurchasing and assets: Create simple, low-value purchase orders; receive goods, hand them to the requester, and record device details (e.g. serial numbers) in the asset systemInvoices: Check that invoices match purchase orders, contracts and payments, collect VAT invoices from vendors, and follow up when an invoice is missing or incorrectVendors: Collect vendor information, ask vendors for quotations, and prepare draft purchase proposals using ready-made templatesCommunication: Write routine emails to vendors, arrange vendor meetings, and take notes on meeting outcomes and next stepsReporting: Prepare data in Excel/Google Sheets for monthly checks and draft regular reports for your supervisor to review Skills/knowledge you need to be successful
Final-year student in Economics, Business Administration, Accounting, or a related majorAvailable at least 4 days/week (full-time preferred) - working onsite at our Ho Chi Minh City office, for 3–6 monthsIntermediate level of English to work on internal emails and documentsGood at Excel or Google Sheets: filtering, sorting, VLOOKUP, pivot tables and basic formulasCareful with details and comfortable with repetitive data tasks; able to notice when a number or record looks wrongOrganized and able to keep track of many small tasks without being reminderAble to keep company and vendor information (e.g. bank details, tax codes) confidentialNice to have
Experience in purchasing, accounting, admin or inventory work, including part-time jobs or school projects is a plusFamiliarity with business or asset management softwareInterest in technology products and software toolsExperience using AI tools (ChatGPT, Claude, Gemini, etc.) to draft emails, summarize documents or write spreadsheet formulas, while keeping company data private Perks You'll Enjoy
