About this role
Are you someone who brings clarity, accuracy and calm to complex processes? Do you enjoy coordinating many moving parts while keeping people informed, supported and confident? The International School of Luxembourg (“ISL”) is looking for an Assessment & Examinations Coordinator to support well-organised, inclusive and student-centred examination experiences across Grades 9–12. Working closely with the Assistant Principal for High School Academic Pathways / DP Coordinator, the Upper School Student Records and Schedule Specialist, and Faculty members, you will coordinate examination and assessment processes, including those of the IB Diploma Programme (“DP”). This role combines careful organisation with a strong human focus. You will help students and families navigate examination processes, support individual access needs and ensure that important assessment milestones are managed with care, accuracy and integrity. ISL is committed to safeguarding and prioritising the wellbeing of children and young people and expects all staff to share this commitment. What will you do? You will use your skills to: ● Plan and coordinate IB DP, mock and internal examinations, including schedules, venues, materials and invigilation; ● Communicate examination requirements, schedules and procedures clearly to students, families, colleagues and invigilators; ● Collaborate with Learner Support and IT colleagues to implement approved inclusive access arrangements; ● Recruit, prepare and coordinate external examination invigilators; ● Maintain confidentiality, examination security and accurate records within IB and school systems; ● Respond calmly and practically to changing circumstances during examination periods; ● Coordinate CAT4 testing across the Upper School; and ● Work collaboratively across Academic Pathways, Data Management, Learner Support, IT and teaching teams. You will work an average of 16 hours per week in a two-week reference period, and these hours must be worked between 07:00-17:00h during the work week. Your actual schedule can be finalised through discussion with the Assistant Principal for High School Academic Pathways / DP Coordinator based on your personal situation and school needs. The workload follows the examination cycle, with busier periods around registration, mock examinations, the May IB examination session and the release of results. Flexibility is therefore important, and some additional hours, early mornings, evenings or occasional public-holiday work may be required during peak periods. What skills will you bring? Essential: We are interested in what you can do and how you work, rather than one career path. ● Organisation and prioritisation – coordinating complex processes, managing competing deadlines and following through reliably; ● Accuracy and attention to detail – handling data, documentation and processes carefully and consistently; ● Communication and relationship-building – communicating clearly and respectfully with young people and adults from diverse cultural and linguistic backgrounds; ● Collaboration and ownership – working effectively across teams while taking responsibility for your own work; ● Problem-solving and composure – thinking clearly, adapting and finding practical solutions under pressure; ● Integrity and discretion – handling confidential information and examination materials responsibly; ● Inclusive practice – working with colleagues to ensure students can access assessment equitably; ● Digital confidence – using and learning digital systems, including Excel, Word, Outlook and databases; ● Full professional fluency in English; and ● A commitment to safeguarding, student wellbeing and belonging. Valued Experience: Your transferable skills may have been developed in education or in another complex, deadline-driven environment. ● Experience in one or more of the following would be valuable: ● Coordinating administrative processes, assessments, examinations or events; ● Working in a school, university or similarly regulated environment; ● Supporting students, young people or families; ● Working with confidential data, databases or student information systems; ● Working within an international or multicultural environment; ● The IB Diploma Programme, external examinations or standardised testing such as CAT4. ● Working knowledge of French or German, and Luxembourgish, would be an advantage.
